
Proposal and Marketing Coordinator

As a Proposal and Marketing Coordinator, you will be an integral part of the ISANI team, helping to identify, pre‑position, lead, and support a variety of assignments on strategic pursuits, and to position ISANI for success.
This position offers a hybrid schedule, allowing both in‑office and remote work, and is based in Houston.
Collaborating with other members of the team, you’ll work on a variety of proposal activities, ranging from qualification statements to strategic, complex proposals and presentations. During your time with ISANI, you will engage with pursuit teams on the development of strategy and proposal development, interviews, and presentations; as well as independently lead the coordination, writing, and preparation of proposals of varying sizes for various clients in conjunction with more experienced staff.
This candidate will support our public sector business.
Principal Duties and Responsibilities
Perform research, writing, editing, and proposal coordination and production of a variety of business development efforts with little or no supervision
Responsible for monitoring release of requests for proposals/qualifications (RFP/RFQ)
Technical writing/editing
Maintain TxDOT pre-certification information
Maintain a current database of resumes and project descriptions
Works with principal and practice leads to monitor work status meetings (as required), log and track status of marketing projects, and provide status updates and reports
Manage multiple tasks concurrently and engage with various stakeholders/reviewers
Lead and manage the proposal schedule from RFP release to submittal due date (schedule meetings, set up reviews, coordinate input from multiple practice leads, etc.)
Coordinate with other firms on teaming arrangements and data calls
Organize, direct, and guide proposal support team (document processors, graphic designers, reproduction, etc.) to achieve successful, timely outcomes and high‑quality deliverables
Personally contribute in writing, editing, coordinating, and ensuring compliance; oversee preparation/writing of proposal sections by others
Write or edit content for non‑technical sections, including interviewing subject matter experts and tailoring resumes and project descriptions
Exercise sound judgment to support timely decisions with the team on compliance‑related issues and other issues impacting the development, production, and delivery of high‑quality proposals
Follow best practices for document management, organization, and version control
Perform QA/QC on final product before submission
Support communications and content collection with teaming partners and subcontractors
Coordinate with teaming partners and provide requested information in a timely fashion
Direct and integrate graphic design, editing, document publishing, and reproduction staff
Contribute suggested improvements/additions to proposal development processes
Prioritize own and others’ work to meet deadlines
Implement company image/brand guidelines on assigned project
Possess knowledge of and ability to perform (at a basic level) support skills (including document publishing, graphic design
BS/BA in Marketing, Business Management, Journalism, English, Communications, or technical discipline OR 5+ years of relevant proposal coordination experience in lieu of degree
Possess knowledge of and ability to perform (at a basic level) support skills (including document publishing, graphic design, and reprographic standards)
At least 4 years of relevant experience developing and coordinating proposals, presentations, and related sales or business development deliverables
At least 1 year of proposal development experience in the engineering, architecture, construction, and/or related industries
Advanced English verbal, writing, editing and proofreading skills, with an eye towards sales messaging, themes, proposal aesthetics, quality, and content
Strong organizational qualities and attention to detail and quality
Ability to manage multiple concurrent projects with tight deadlines
Proficient in Microsoft Office suite
Proficient in Adobe InDesign
Experience producing graphics and tables for proposals
Preferred Qualifications
A thorough understanding of COH and TxDOT pursuits and how to develop winning proposals and presentations.
A detailed knowledge of marketing procedures, work processes, and tools, along with evidence of past successful management of marketing projects and teams.
A thorough understanding of effective document and presentation production, and an in‑depth understanding of proposal and presentation psychology and how to convey messages, themes, discriminators, and responses to evaluation criteria clearly and effectively.
Experience with collaborating with distributed teams of people with a demonstrated knowledge of COH and TxDOT proposals and procurement process.
The ability to produce accurate, compliant and compelling work independently and with others.
Excellent verbal and written communication skills.
Understanding of desktop publishing software (e.g., Adobe Creative Suite)
