Summary The Executive Producer is part of the larger Sparks team of producers, creatives, coordinators that partner with our internal and external partners in A/V, design and build, and logistics. Responsibilities include establishing program best practices and efficient workflow for our Internal (and external) cross-functional teams, partners and clients. The position is responsible for supporting the opportunity engagement process, from proposals and RFP’s through reconciliation, including creating and managing associated budgets on assigned programs.
This role is eligible to work a hybrid schedule, generally requiring 2–3 days per week in-office based out of one of the following locations:

Essential Duties & Responsibilities
Lead the execution of large and/or complex projects with a strong focus on show production in various types of events including corporate client events, association programs, consumer and experiential activations, sales kickoff meetings, product launches, marketing announcements, video shoots, investigator meetings, summits, roadshows and experiential activations
Serve as project manager, leading the team and establishing all documentation, driving deliverables, budget, and communications
Develop, manage and communicate project milestones and timelines for all components of the defined scope
Lead all internal and external project meetings including project kickoffs, finance kickoff, assessments, weekly team meetings, client budget reviews, and debriefs
Ensure client satisfaction, upholding quality of work to meet client expectations
Lead the development of the production schedule, production workbook, client playbook and decks
Maintain Sparks standards and processes throughout the event planning process
Participate in creative development when appropriate
Provide best practice and future event recommendations based on experience with the client
Collaborate with the Proposal, Sales, Operations, Creative, and Events teams on the RFP process. Attend strategic planning and creative meetings, develop estimates and budgets, represent Event Production when pitching virtually or in person
Plan and execute corporate client events, association programs, consumer and experiential activations, sales kickoff meetings, product launches, marketing announcements, video shoots, investigator meetings, summits, roadshows and experiential activations
Work cross-functionally with teams (technical direction, AV, sales, strategy, design & creative, digital, operations, sponsorship, conference & events, expo, reg/housing/tech) to lead projects with general sessions and content
Manage all aspects of events, live show production, creative and production management for graphics, digital activations and platforms, video production, content production and management
Build out a project team, assign and monitor workload of staff. Develop and execute engagement strategy to maximize utilization targets
Partner with sales team and manage project profitability. Create appropriate budget estimates, negotiate SOWs, ensure work is on budget, and issue supplier POs timely and ensure all internal and external vendors costs are accounted for and paid based on developed schedules
Act as the main point of contact for clients including guiding clients through project's lifecycle and expertly coaching them on best practices, production, budget, timeline and key impacts
Develop, manage and grow senior level relationships with clients, positioning Sparks as a strategic advisor and partner
Lead communication and information flow between internal teams, vendors and the client. Skillfully act as a liaison and strategic problem-solver between all parties
Ensure flawless execution, quality of service and timely delivery of all necessary components, properties, and materials for each event
May manage one (1) or more direct report, including conducting performance evaluations, mentoring, developing, and taking corrective action when necessary
Participate in team recruiting efforts through the interview process
Foster a positive working environment within the production team, office/company
Education & Experience
Bachelor's degree or equivalent practical experience
10+ years of production experience in a major agency, communications company or production company
Strong project management skills including budgeting, scheduling, and client relations
Excellent business and report-writing skills
Knowledge of software logistics and basic technical knowledge
Strong production competencies: client focus, accountability for results, team effectiveness, developing others, attention to detail, flexibility and professional confidence
Proficient in Google Drive and Microsoft Office
Strong attention to detail, a positive attitude, and a team player
Ability to operate within a fast-paced environment
Excellent written, verbal and interpersonal communication skills
Travel Requirements Travel 25% to 50%
