Position Summary
The
Assistant Property Manager
assists the property manager in effectively managing the assigned communities. If the property manager is absent, the Assistant will assume all responsibilities associated with accomplishing community objectives as set forth by the property manager and corporate leadership. Additionally, the Assistant is directly responsible for maintaining daily, weekly, and monthly reports, including accurate reporting of rents and deposits received. This opportunity will be assigned to our cross street properties "CoOp Heights & CoOp WaterWorks" located in the popular Heights district in Houston, Texas.
Essential Duties and Responsibilities Leasing/Marketing
Our CoOp Heights (186 units) & CoOp Waterworks (125 units) properties will be home to (311 units in total). We're looking for our next team member!
Greet, qualify, and engage prospective residents using Magnolia’s established leasing standards, tools, and qualification criteria.
Maintain accurate and timely tracking of all prospect interactions, including phone, walk-in, and digital inquiries.
Effectively present community features, and value propositions to convert qualified prospects into residents.
Secure applications, deposits, and required documentation in full compliance with
Fair Housing laws and company policies .
Process applications from start to finish, including credit screening, rental verification, internal approvals, and consistent applicant communication.
Ensure all apartment homes are
move-in ready
and meet Magnolia’s quality standards prior to resident occupancy.
Proactively follow up with prospective residents to maximize conversion and refer prospects to sister communities when appropriate.
Facilitate a seamless onboarding experience by collecting and processing all new resident documentation and providing community orientation.
Prepare, distribute, and follow up on lease renewal offers to support retention goals.
Promote and communicate resident referral programs and incentives when applicable.
Execute marketing initiatives in partnership with leadership, including outreach, branding efforts, and online reputation management.
Maintain accurate and up-to-date online listings, ensuring pricing and availability reflect current market conditions.
Represent Magnolia with professionalism, positivity, and a commitment to delivering a best-in-class resident experience.
Administrative
Utilize property management systems to accurately enter, track, and analyze leasing, financial, and resident data.
Collect, post, and reconcile rental payments in a timely manner, ensuring deposits are processed within established timelines.
Support
PFC/HFC compliance requirements , including maintaining complete and audit‑ready resident files (income verification, eligibility documentation, and reporting standards).
Ensure strict adherence to all
federal, state, and local regulations , as well as company policies and procedures.
Consistently enforce community policies while maintaining a fair and resident‑focused approach.
Accurately prepare and submit lease commissions, locator fees, and related documentation within required deadlines.
Maintain open and consistent communication with the Property Manager regarding leasing activity, resident matters, marketing needs, and operational updates.
Complete and submit daily activity reporting (DAR) with accuracy and timeliness.
Monitor and respond to resident communications (including portals such as ActiveBuilding) promptly and professionally.
Partner with the maintenance team to ensure service requests are completed satisfactorily; follow up with residents to confirm resolution and satisfaction.
Complete incident reports as needed and elevate issues appropriately to leadership.
Actively contribute to the overall appearance and condition of the community, ensuring high standards of
cleanliness, curb appeal, and resident pride .

Qualifications
RealPage Onesite experience would be preferred. **
Two years of experience in property management.
High level of organization and attention to detail.
Competence with office management software.
Familiar with applicable local, state, and federal laws and regulations.
Education/Certification Associate’s degree is preferred or equivalent vocational/technical training.
Supervisory Responsibility This position does not have direct supervisory responsibilities.
Expected Hours of Work Hours for this position will be 40 hours work week expectation. A Monday through Saturday work-week schedule may be expected.
Physical presence at Magnolia properties is required to perform the duties of this position.
