Job Responsibilities

The Human Resources Specialist provides critical support across a broad range of HR functions, including part‑time employment processing, HRIS data management, Non‑Exempt leave tracking, recordkeeping, and front desk administration. This role ensures compliance with HR policies, contributes to departmental projects, and delivers outstanding service to the college community. Key Responsibilities

Employment Processing & I-9/E-Verify Administration Coordinate and process part‑time employee files. Enter I-9 and E-Verify data accurately, review documents for completeness, and ensure employment packets comply with college policies and procedures. HRIS / Data Management & Leave Maintenance Perform precise employee data entry in HR systems, including Colleague. Track Non‑Exempt leave, verify leave data, support the Leave Manager, and resolve routine employee and supervisor inquiries. Serve as backup to ensure continuous leave operations. Employment Verifications & HR Communications Management Respond promptly to employment verification requests. Manage HR fax, email, and employment inboxes, maintaining accurate records and routing correspondence appropriately. HR Filing & Recordkeeping Support HR filing and recordkeeping systems, create new employee files, oversee archival of records, and coordinate annual record disposal according to retention policies. Serve as backup as needed. Administrative / Front Desk Support Assist with general HR administrative functions, including processing mail, serving as front desk receptionist and switchboard operator, assisting visitors, and directing telephone inquiries appropriately. HR Projects & Initiatives Contribute to HR projects, initiatives, or special assignments, supporting departmental goals and operational improvements. Minimum and Additional Requirements

This position requires a high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Preferred candidates will have an associate degree or higher in human resources or a related area. Preferred Qualifications

Strong knowledge of human resources administration, including employment processing, leave programs, recordkeeping, and federal/state regulations (e.g., I-9, E-Verify, Non‑Exempt leave). Proficiency in HR systems such as Colleague and other tracking tools to maintain accurate data, generate reports, and ensure compliance. Skilled in modern office procedures and software, including word processing, spreadsheets, databases, presentations, and email systems like Outlook. Experience organizing and maintaining physical and electronic files, processing employment and leave documentation accurately and in a timely manner. Excellent customer service skills with the ability to maintain confidentiality, exercise discretion, and communicate effectively both verbally and in writing. Ability to work independently and collaboratively, prioritize multiple tasks, and demonstrate sound judgment, tact, and professionalism across the college community. Equal Opportunity Statement
