Job Title Brokerage Coordinator

Job Description Summary We are seeking a Brokerage Coordinator to support a market leading team of Brokers at a top global real estate services firm. The role consists of execution of work related to commercial real estate transactions and client deliverables. This individual must be a collaborative team player with a can‑do mindset and will participate in regular business and team meetings. It is a multifaceted role requiring strong organizational skills, initiative, and the ability to multi‑task in a fast‑paced environment. The Coordinator will be trained on internal systems—including the team’s database, Workday, Salesforce, Microsoft, and Adobe applications—and offers an opportunity to gain commercial real estate knowledge and experience with growth potential.

Responsibilities

Prepare AIR Forms, Purchase and Sale Agreements, Lease Agreements, Tenant Estoppels, and Disclosures (Property Information Sheets and Seller’s Mandatory Disclosure)

Draft Listing Agreements (Cushman & Wakefield and AIR Forms) and coordinate with Legal and Management for execution

Prepare Letters of Intent, Proposals to Lease or Purchase, Counter Responses, and other transaction‑related correspondence

Schedule and manage the team and broker calendars, including weekly team meetings, client meetings, conference calls, and broker events (Open House)

Coordinate all marketing efforts, including creating, entering, and maintaining listings on external multiple listing services (AIR, LoopNet, CoStar), managing subscription and internal listings, coordinating with vendors (aerial photography, contractors, commercial printers), preparing marketing materials (property surveys, tour books, flyers, brochures), responding to inquiries, and preparing vouchers for closed transactions and marketing budgets

Maintain the team’s internal database: manage subscription, update contact information, and create targeted mailers

Participate in business development: attend strategy sessions, research property owners and companies, prepare targeted follow‑ups, populate client lists, organize agreements and due diligence materials, and support timeliness of deliverables

Oversee team promotional efforts and client outreach, including targeted mailers, postcards, client gifts, and holiday cards

Requirements

Bachelor’s degree or equivalent

2+ years of experience in marketing or a related field, or an equivalent combination of education and experience

Excellent oral and written communication skills

Proficiency with Microsoft Office and Adobe Creative Suite

Detail‑oriented, self‑starter, well‑organized, able to set priorities, handle multiple projects independently, and comfortable in a fast‑paced environment

Strong interpersonal skills and history of excellent customer service

Willingness to occasionally travel to the El Segundo office

Compensation ranges from $29.18 to $34.33 per hour, with potential adjustments based on collective bargaining agreements, geographic area, market rates, and experience.
