Position Summary

The Assistant Property Manager is responsible for assisting the Property Manager with managing a property or group of properties and meeting the obligations under the property’s management agreement. The role supports budget development, preparation of monthly operating reports and client deliverables, tenant billings, rent collection, property payables, lease abstracting and administration. It also requires legendary customer service when communicating with tenants, prospective tenants, owners, and vendors while focusing on productivity and results. Essential Job Functions

Assist with activities associated with a property or group of properties. Assist with all lease administration duties. Supervise vendors (landscaping, janitorial, etc.) and maintenance staff. Perform regular property inspections and complete inspection reports, recommending alterations, maintenance and reconditioning as necessary. Assist the Property Manager with the development and control of operating and capital budgets. Assist in preparation of monthly reports for owners. Coordinate tenant improvement and capital projects. Respond to tenant needs, ensuring administrative and building technical staff resolve problems promptly. Represent and communicate clearly and accurately the authority of the Property Manager based on legal agreements and company policies. Initiate and execute day‑to‑day operational procedures. Assist in initiating, contracting and administering services to maintain and enhance property value and efficiency. Prepare all service and construction agreements, including work authorizations, addenda, amendments and contract approval forms. Track and maintain Energy Star benchmarking data. Conduct tenant training meetings to improve building efficiencies. Maintain and enhance tenant contact/relations program to assess needs and assure problem resolution. Resolve problems to the benefit of tenants and owners. Implement and monitor tenant needs assessments. Administer all leases to ensure compliance with provisions and agreements. Manage timely escalations, reconciliations and rent collections. Maintain current certificates of insurance for all tenants; ensure coverage complies with lease requirements. Show space to prospective tenants (requires a real estate license where required by state). Communicate clearly and promptly with project accounting personnel using the appropriate documentation. Prepare monthly ownership reports, including variance reports, executive summaries and aging reports. Manage day‑to‑day financial transactions including accounts receivable, accounts payable, rent collection and charges. Maintain compliance with all company personnel policies and procedures. Perform miscellaneous duties or projects as assigned by the Property Manager. Position Requirements

Bachelor’s degree in Business Management, Finance, Accounting, Human Resources or a related discipline. RPA designation in progress is preferred. Possess a Real Estate License where required by state law. Minimum 3 years of property management experience, preferably in commercial or Class A office management. Intermediate to advanced proficiency in Microsoft 365 (Word, Excel, Outlook). Proficiency with accounting software such as MRI, Yardi or CTI is preferred. Ability to keep information strictly confidential. Strong desire to succeed in an entrepreneurial environment. Ability to handle multiple projects, changing priorities and a heavy workload. Exceptional oral and written communication skills. Strong customer service orientation. Salary Range

$65,000 to $75,000 Location and Work Shift

Naperville, IL On‑site role with no remote or hybrid options.
