Marketing Administrative Assistant – Job Description:

VOCO America, the North American division of VOCO, has been one of the fastest growing dental material manufacturers in the US marketplace since its introduction in 2000. Today VOCO America is an established manufacturer within the US & Canadian markets with growth that consistently out-performs the market. Wearecurrently hiring for the following position:
This is a hybrid marketing position made up of administrative (70%) and project management (30%) responsibilities in support of, and in coordination with various marketing focuses and initiatives including but not limited to event marketing, product marketing, channel marketing, project marketing, digital marketing, email marketing, distribution partnerships and content curation within the North American market.
This role will report directly to the Executive Director of Marketing and Communication and be an active and integral part of the North American marketing team with the following responsibilities:
Project Management : Ranging from projects with full oversight and management to projects in collaboration with our marketing team to ensure that each project stays on track, meets deadlines, and receives the attention it needs to be successful
Coordinate correspondence and internal communication between marketing operations and sales, sales management, special markets, and sales representatives across North America to keep marketing campaigns, marketing and sales events and company initiatives on track.
Support the Executive Director of Marketing, Director of Professional Relationships, Content Manager, Digital Marketing Manager and Marketing Manager roles with various administrative tasks including but not limited to: Data input and imports, logistics, content collation, content management, etc. to keep projects on schedule and in line with project goals
Manage charitable contribution requests and communications
Coordinate with the global online department to update and maintain the VOCO America website and its dedicated content
Coordinate mailings with logistic department in support of product evaluations, sales team support and distribution partner VIP programs.
Management of key distributor VIP club to maintain and improve the distributor relationship at the sales representative level.
Content management of multiple online marketing and sales platforms and portals
Manage marketing literature inventory and maintain minutes from weekly status meetings
Placement and Management of online orders & inventory with logistics
Reporting across multiple marketing areas, applications and media partners
This collaborative position requires a team oriented can-do personality, which is deadline focused, sets and meets high standards with the ability to learn quickly!
Candidates with the following qualifications will be considered:
Bachelor’s degree in Marketing, Communications, Public Relations or related field of study
4+ years’ as an administrative assistant, marketing coordinator, or a related field of experience
Ability to work collaboratively in a team environment
Ability to organize and manage multiple projects and coordinate resources while meeting deadlines
Strong attention to detail and organization in fast-paced environment
Excellent verbal and written communication skills
Strong teamwork and collaboration skills
Self-starter mentality
Proficient with MS Office Suite, Adobe Acrobat, and Project Management Software
Preferred Qualifications
Knowledge and experience with AI LLM’s such as ChatGPT, Gemini, Claude or similar
Experience with AI based creative applications such as Descript and Canva
Experience with Marketing and CRM applications such as HubSpot or Sales Force is an advantage, but not required
Experience and knowledge with cloud based LMS and Sales Enablement systems is preferred but not required
Experience in the Dental Industry is an advantage, but not required
