
Japanese Bilingual Event Operations Specialist (Coordinator / Manager)

Position: Event Operations Coordinator / Manager - Japanese Bilingual Location: Los Angeles, CA (Hybrid) Working Hours; 9AM-6PM (Weekday schedule, but weekend work is required based on event needs) Salary: $58 - 70k/year Benefits: Medical, Dental, Vision insurances, 401K Summary of the Position This role is responsible for planning, coordinating, and executing a wide range of events, including hosted, co-hosted, and rental events. Depending on experience, the position may function at either a Coordinator or Manager level, handling event logistics, vendor coordination, and on-site operations while collaborating with internal teams. The ideal candidate is highly organized, detail-oriented, and able to manage multiple projects in a fast-paced environment while ensuring high-quality event execution.
Key Responsibilities Event Planning & Execution
Coordinate all aspects of events, including:
Venue logistics
Guest management and RSVPs
Room setup and seating
Audiovisual arrangements
Catering and staffing
Prepare event orders and communicate requirements to internal teams
Gather necessary materials from stakeholders (schedules, presentations, etc.)
Support or lead pre-event planning, including meetings, rehearsals, and technical checks
Oversee on-site event operations:
Setup and breakdown
Vendor coordination
Guest reception (including VIP handling)
Troubleshooting during events
Monitor event performance and identify areas for improvement
PR / Marketing Support
Create and manage event registration pages and RSVP tracking
Coordinate event announcements, newsletters, and follow-up communications
Support development and distribution of post-event surveys
Maintain and update contact and mailing lists
Administrative & Reporting
Prepare post-event reports (attendance, survey results, summaries)
Organize event materials (slides, photos, videos, printed materials)
Track operational KPIs and event data
Provide facility tours to vendors and partners as needed
Qualifications
Bachelor’s degree in Business, Hospitality, Communications, or related field (or equivalent experience)
Experience in event coordination or event management:
Coordinator level: 2–3+ years
Manager level: 3+ years or equivalent
Business-level proficiency in both Japanese and English (spoken and written)
Strong organizational and time management skills
Ability to manage multiple tasks and prioritize effectively
Excellent communication and interpersonal skills Detail-oriented with strong problem‑solving ability
Ability to remain calm and professional in fast‑paced environments
Skills Must‑have
Event coordination and project management skills
Microsoft Office (Excel, Word, PowerPoint, Outlook)
Nice To Have
Experience with event platforms (e.g., Survey tools, webinar tools, email marketing tools)
Basic knowledge of audiovisual equipment
Experience managing vendors or leading event operations
Food & beverage or hospitality experience
Work Environment
Ability to lift up to 30 lbs.
Ability to stand and move for extended periods during events
Occasional evening and weekend work required depending on event schedule
