Veterinary Relations Manager

Position Overview The Veterinary Relations Manager serves as a key liaison between Pilchuck Veterinary Hospital and referring veterinarians within the local market and surrounding areas. This role is strategic, operational, and communications‑focused, supporting the growth and strength of referral relationships across all specialty departments.

The manager maintains responsibility for the referral and reputation continuum of the hospital and leads multi‑modal marketing efforts in collaboration with hospital leadership and marketing partners.

This position works closely with clinical, client service, and administrative teams to ensure efficient referral processes, clear communication, and exceptional service for referring veterinarians and their teams.

Ideal candidates demonstrate strong relationship‑building skills, understand local market opportunities and challenges, and can strategically navigate referral veterinarian and team relationships.

Duties and Responsibilities

Collaborate with all hospital departments to develop a thorough understanding of clinical services and represent them in an engaging, professional manner.

Help develop a Professional Promise to guide referral veterinarian and client decision‑making.

Conduct frequent outreach calls and in‑person visits to referring veterinarians.

Support scheduling new consultations with specialists as needed.

Develop and maintain an efficient referral management database, including accurate documentation within the PMS.

Serve as administrator for VetLink and/or other medical record sharing systems.

Work closely with CSR teams, doctors, and technicians to ensure open and effective communication.

Demonstrate excellent customer service and emotional intelligence when interacting with clients, referring veterinarians, and hospital teams.

Monitor specialty doctor schedules to improve appointment fill rates in coordination with hospital staff.

Generate and review monthly and quarterly referral and fill‑rate reports with hospital leadership and marketing partners.

Track, respond to, and resolve issues or concerns from referring veterinarians and clients across all communication platforms.

Report case volumes, outreach activity, referral trends, and procedure counts on a monthly or quarterly basis.

Collaborate with the marketing team to maintain and update website and social media content.

Respond to client complaints and negative online reviews within 48 hours.

Strategically plan and execute marketing and outreach campaigns.

Utilize PMS and/or CRM tools to document weekly interactions with referring veterinarians.

Ensure hospital branding and messaging align with strategic objectives outlined in the Pathway Plan.

Communicate referral visit highlights and key updates to hospital staff.

Plan and coordinate continuing education events hosted by the hospital.

Organize participation in community events and referral‑focused newsletters.

Complete all assigned tasks in a timely and professional manner.

Requirements Demonstrated experience identifying prospective referrals and building long‑term professional relationships.

Proven self‑starter with strong time management, prioritization, and organizational skills.

Veterinary or medical field experience strongly preferred.

Excellent interpersonal, communication, and problem‑solving skills.

Public relations/marketing experience preferred.

Professional appearance and demeanor.

Flexible schedule with ability to work evenings, weekends, overtime, and travel as needed.

Reliable transportation required.

Ability to accept and manage constructive feedback.

Compensation Compensation is negotiable based on credentials and experience, with an hourly pay rate starting at $31‑36/hour. The actual rate will consider a wide range of factors, including skills, qualifications, experience, and location.
