Executive Associate

As our Executive Associate in New York City, you'll provide essential executive support and administrative excellence as we build our presence in the market. You'll manage complex calendars, coordinate executive priorities and ensure operational efficiency - serving as the trusted partner who keeps leadership focused and the office running seamlessly. Location: New York City, Union Square What You'll Do

Office Establishment & Management Keep our NYC office running smoothly and handle guest management Establish office systems and processes from the ground up Manage day-to-day office operations including supplies, vendors, mail, and ensuring our workspace is organized and functional Coordinate with other office locations and streamline processes Executive Support Provide hands-on executive assistant support to Prior Labs' founders Manage calendar, book travels, handle administrative tasks Anticipate needs and proactively solve problems before they arise Culture Building Shape the culture of our New York office Create a welcoming, productive environment that reflects our values Plan and coordinate office events, lunch breaks and team gatherings Be the person who sets the tone and makes everyone's day better Operations Foundation Build the operational infrastructure for a growing team Create processes that will scale as we grow Be the go-to person for office-related questions and needs Who You Are

You're a hands-on, self-starter who thrives on building things from scratch. You love creating order out of chaos, take ownership naturally, and don't need to be told what to do next. You're excited by the idea of being the first operations person on the ground and shaping how things work. This role is perfect if you: Are energized by variety and wearing multiple hats Take initiative and ownership without needing direction Enjoy being the person who makes things happen behind the scenes Thrive in ambiguity and fast-paced environments Essential Background: Excellent organizational and time-management skills Strong communication skills in English (other languages a plus) Proactive, can-do attitude and willingness to tackle any task Genuine interest in startups, technology, and operations Preferred Qualifications: Previous experience in office management, executive assistant roles, or operations Experience working in startup or fast-paced environments Project management experience (especially office moves or setups) Location
