Administrative Assistant To The Athletic Director

Location: Boiling Springs High School Start Date: 2026-2027 School Year Schedule: 8 hours/day, 7.5 work hours/day, 10-months, and 209 days Payrate: Starting at $22.68 (depending on PA Public School Experience that qualifies with PSERS) Job Summary: Provide clerical support to the Athletic Director in a manner that is professional, diplomatic, and complies with confidentiality requirements. Primary Duties and Responsibilities: Perform clerical duties such as answering the phone; opening and distributing mail; managing calendars; scheduling appointments; generating correspondence, meeting agendas, and memos; filing; etc. Assist in maintaining Athletic Director's calendars. Maintain communication with students, staff, which also includes coaches, game officials, and the community. Work cooperatively with staff to support efficient communication for the building and school district. Maintain financial records. Assist with the collection of game receipts; make deposits; develop, facilitate, and continually improve processes for paying game officials and game help, and maintain thorough and accurate records. Facilitate and manage department purchases: to include purchase cards and other related reconciliation. Stay abreast of the athletics budget. Arrange transportation for athletic events and communicate changes, deletions, or additions to the transportation department. Maintain a master list of athletic events, both home and away, including any schedule changes and keep file current. Prepare and maintain a list of athletic eligibility and process student ineligibility letters. Assist in the preparation of athletic drug screening, which includes submitting a list of student ID numbers and collecting/copying necessary paperwork. Oversee the arrangements for athletic senior nights, which includes notifying students, staff, and parents, ordering flowers, etc. Maintain and update athletic banners and other athletic recognition. Create and maintain a system and centralized repository for athlete and team statistics year over year. Aid athletics in securing the approval of facility usage through FMX and coordination with Buildings and Grounds. Enter coaches into FMX and provide technical support. Support coach onboarding by way of collecting and distributing documents and items including but not limited to coaching contracts, safe schools and other PIAA paperwork. Develop standard operating procedures for all job functions. Secondary Duties and Responsibilities: Support with administrative tasks for the High School as directed by the building administrations. Assist in preparing physical spaces for athletic events. Qualifications: High school diploma or equivalent is necessary. Two (2) years' experience as a secretary is necessary, preferably in public education.
