Executive Assistant
The Windfall is partnering with a Private Equity firm that is seeking to hire an Executive Assistant. This role is part of the fastest growing, hardest working teams at the office. You will be client facing on a daily basis working on large scale roadshows and events. This is a very visible position at the firm as you are supporting the Partner and Co-Head of Investor Relations. This will be working alongside other EAs on the IR Team. You will be supporting the Partner alongside 2-3 Directors and Associates. They foster an empathetic environment with an amazing training program. This role is working in the office Monday-Thursdays, WFH Fridays from 8:30am-5:30pm with the flexibility for overtime as it is required. Responsibilities: Travel arrangements and logistics across time zones Maintain and update Director and Executive's calendars Book and coordinate internal and external meetings Setup conference/video calls and with internal and external parties (make sure technology is working in conference room) Manage conference rooms for meetings Breakdown conference room after meetings Prepare material, update and edit presentations Print, bind and distribute presentations Arrange and coordinate internal/external conferences Coordinate with Portfolio Companies and Executives Handling of confidential information and materials Register and update contacts in internal databases Expense reporting Back-up other EAs Coordination of international meetings Assist with office-wide projects and events, as needed Requirements: 5+ years of EA experience in finance, consultancy or tech Experience and interest in; travel and logistic coordination (domestic and international), heavy calendar management, working with databases, work in an international environment, communicating with executives Experienced computer user: Gmail, Google Calendar, Dropbox, Salesforce, PowerPoint, Excel, Word Team-minded approach to tasks and projects Ability to multi-task and prioritize/re-prioritize as needed Service minded with a "can do" attitude Focus on quality and a strong attention to detail Flexible style and the ability to seek solutions both independently and as part of a team Capable and driven to take initiatives Sound commercial judgment Strong communication skills Strong interpersonal skills (heavy coordination across business lines) Package: $120,000 Base Salary Discretionary Bonus Based on Individual & Firm Performance 100% Covered Benefits 4% 401k Match iPhone & Laptop Commuter Benefits Breakfast, Lunch & Snacks Provided Daily
