Secretary To The Director Of Athletics
The Secretary to the Director of Athletics is responsible for the day-to-day administrative operations of the athletic department. This role acts as the primary point of contact for coaches, student-athletes, parents, and officials while ensuring all programs comply with NJSIAA (New Jersey State Interscholastic Athletic Association) regulations and Board of Education policies. Key Responsibilities Athletic Event Management: Organize game schedules, coordinate transportation for away events, and arrange for officials and site security. Student Eligibility & Records: Process and maintain student-athlete physicals, academic eligibility checks, and parental permission forms to ensure compliance before participation. Financial Operations: Manage the athletic budget, track student fees, prepare money boxes for gate sales, and process payments for officials and event staff. Prepare on-line ticketing. Departmental Communication: Serve as the first point of contact for the office, handling inquiries from the public, staff, and students regarding athletic programs. General Administrative Support: Maintain the department calendar, prepare rosters, type correspondence, and order necessary supplies/equipment and all associated purchase order entry. Required Qualifications & Skills Education: High school diploma or equivalent is required. Many districts prefer an Associate's or Bachelor's degree. Experience: Typically requires 2-3 years of secretarial or administrative experience, preferably in an educational or athletic setting. Technical Proficiency: Expert-level skills in Google Workspace (Docs, Sheets, Calendar) and Microsoft Office. Familiarity with specialized school software like Genesis, Arbiter, or rSchoolToday is often required. Communication: Strong interpersonal and writing skills to professionally interact with the school community. Compliance Knowledge: Familiarity with New Jersey's NJSIAA rules and local Board of Education athletic policies. Mandatory Checks: All NJ school employees must pass a criminal history background check and provide proof of U.S. citizenship or legal resident. Physical & Work Environment Setting: Primarily an indoor office setting, but may occasionally require being outdoors in various weather conditions for athletic events. Demands: Ability to lift up to 25 pounds (e.g., equipment or files) and handle frequent interruptions in a fast-paced environment. Hours: Standard school hours. Salary - Salary for this position shall be in accordance with the current agreed upon collective bargaining agreement. All collective bargaining agreements are available on the District website.
