Position Overview We are seeking a Property Management Coordinator to support the day-to-day operations of a portfolio of grocery-anchored retail shopping centers. This role is heavily involved in rent collections, tenant compliance (insurance and sales reporting), and lease administration. This is not an entry-level administrative role. The position requires prior experience in commercial property management and regular interaction with tenants regarding delinquencies, reporting requirements, and operational issues. The ideal candidate is organized, detail-oriented, and comfortable managing multiple priorities while maintaining consistent follow-through.
Key Responsibilities Rent Collections & Tenant Accounts
* Track rent payment status and proactively follow up with tenants to ensure timely payment * Communicate directly with tenants regarding past due balances and resolve delinquencies * Negotiate and monitor short-term payment plans * Prepare and issue late notices and statutory notices (including three-day notices, as applicable) * Analyze tenant ledgers and prepare reconciliation summaries to identify sources of delinquencies
Tenant Compliance & Lease Administration
* Maintain and track tenant insurance certificates and ensure compliance with lease requirements * Collect, track, and maintain gross sales reports from tenants * Process and maintain lease documentation, including: * * Executed leases and amendments * Tenant welcome packages * Option/renewal notices
* Prepare periodic internal reports, including quarterly legal status reports
Maintenance & Vendor Coordination
* Coordinate with maintenance staff regarding tenant service requests * Maintain vendor records and ensure current insurance compliance for vendors * Assist with processing vendor invoices
Administrative & Operational Support
* Maintain accurate tenant and vendor contact information * Process incoming/outgoing mail and deliveries * Answer and route incoming calls as needed * Assist with office operations, including visitor reception and coordination with service providers (e.g., alarm companies) * Prepare store opening/closing reports
Qualifications Required:
* Minimum 2 years of COMMERCIAL property management experience (retail, office, or industrial) (Residential-only experience will not be considered) * Experience with rent collections, tenant communication, or lease administration * Strong organizational skills with the ability to manage multiple priorities * Ability to communicate clearly and professionally with tenants and vendors * Proficiency in Microsoft Outlook, Excel, and Word
Preferred:
* Experience with retail shopping centers or multi-tenant properties * Associate's or Bachelor's degree
