Envoy is seeking a highly organized, detail-oriented, and creative Marketing & Proposal Coordinator to support our Business Development and Marketing efforts. This role will play a critical part in the development, coordination, and delivery of proposals (RFPs/RFQs), while also supporting ongoing marketing initiatives such as content creation, social media, and sales materials. The ideal candidate thrives in a fast-paced environment, can manage multiple deadlines, and has both a creative eye and strong attention to detail. This position requires strong collaboration with Business Development, Marketing, and Construction teams to gather information and produce high-quality materials that reflect Envoy’s brand and capabilities. KEY RESPONSIBILITIES Proposal Coordination Coordinate and support the full proposal process from kickoff to submission Assist in creating proposal interview materials, such as presentations and print materials Assist in drafting, formatting, and assembling RFP/RFQ responses Manage proposal timelines, deadlines, and deliverables Ability to collaborate and gather content from internal teams such as Business Development Managers, Project Executives, Preconstruction Leaders, Project Managers, Marketing, and relevant consultants in the proposal process Write, update, and proofread marketing content, including proposals, resumes, presentations, project descriptions, and other related materials, for spelling, grammar, consistency, quality, and overall compliance with brand standards/voice Meet tight deadlines and manage multiple tasks Research and maintain competitor analysis and market research Uphold company brand standards and maintain proposal standards Format proposals in InDesign, PowerPoint, or Google Docs to align with brand standards Coordinate printing, binding, and delivery of proposals (digital and physical) Maintain and organize alibrary of proposal content, resumes, and project profiles Identify opportunities to improve proposal templates and processes Track the lifecycle of a project and update data in a timely fashion The end goal: to help position Envoy Construction and Development as the trusted partner of choice and win the work Marketing Support & Content Execution Assist in creating and updating marketing materials (project sheets, brochures, presentations) Support social media content creation(gathering project updates, writing captions, organizing content) Graphic design support for a variety of materials, including conferences, presentations, and award submittals Coordinate with internal teams to collect photos, updates, and milestones Assist with website updates and content organization Support email campaigns and newsletters in coordination with the Marketing Manager Help maintain brand consistency across all materials Sales & Business Development Support Organize and maintain sales materials and project information Conduct research on potential clients, projects, and opportunities Support planning and coordination of client events, conferences, and trade shows Assist with the preparation of presentations and meeting materials General Coordination & Administration Help organize cloud-based storage (Google Drive) for proposals and marketing content Assist with calendar coordination for proposal deadlines and key BD activities Track proposal submissions and maintain records Support team coordination across departments REQUIREMENTS 1–3 years of experience in marketing, proposals, administration, or related field Strong writing, editing, and proofreading skills High attention to detail and organization Ability to manage multiple deadlines and shifting priorities Experience with: Google Suite / Microsoft Office Basic graphic design skills (layout, formatting, visual organization) Strong communication and collaboration skills KEY SKILLS & TRAITS Detail-oriented Strategic-thinker Strong sense of urgency and accountability Creative but also structured Comfortable asking for information and following up with teams Adaptable in a fast-moving environment NICE TO HAVE (but not required) Experience in the construction, architecture, or real estate industry #J-18808-Ljbffr
