Position Summary
As Nava continues to grow, the demand for events to support internal teams, engage clients, and expand our brand through external conferences is increasing. The Events Associate will play a key role in supporting our expanded events program by assisting with internal, external, and virtual events. This position is essential in helping us scale our efforts, seize new opportunities, and amplify our impact through polished, seamless experiences.
What you’ll do
Plan small to medium sized in‑person and virtual events including presentations, networking events, dinners, and receptions
Research and recommend venues and vendors needed for the event
Draft and maintain event webpage content/RSVP form and track RSVPs
Complete and follow event plan details
Support speaker needs, including logistics and coordination
Track budgeted expenses
Serve as the on‑site contact (primarily in Washington, DC) to oversee event logistics
Send thank you messages to attendees and speakers post‑event
Compile and complete post‑event reports to evaluate success and identify areas for improvement
Support Nava's participation in external events and conferences
Setup planning files and Slack channels for internal communication and event coordination
Communicate regularly with internal teams before, during, and after events to ensure alignment and readiness
Register and prepare fellow Navanauts for event participation and success
Prepare and coordinate outbound and inbound shipments
Manage relationships with vendors including catering, AV, transportation, and event platforms (for virtual events)
Negotiate and secure quotes for event products and services
Track and maintain event supply inventory
Coordinate outbound shipments of event materials and supplies to staff traveling for events
Secure and manage virtual event platforms (e.g., Zoom, Teams, Google Meet, etc.)
Assist with preparing and updating events calendars
Support external events tracking throughout the year
Help setup events and all staff meetings calendars, monitor progress, and keep calendars current
Required skills
Two years proven experience as an Events Assistant or Events Coordinator working with in‑person and virtual events
Experience participating in site visits, anticipating needs, knowing when to ask questions or dig deeper
Strong interpersonal skills
Exceptional attention to detail and problem‑solving skills
Flexibility to work evenings and travel as required
Must be in the DMV area
Desired skills
Bachelor's degree in Event Management, Hospitality, Marketing, or a related field

Compensation 70,000 - 75,000 USD
Other requirements Legal authorization to work in the United States
Ability to meet any other requirements for government contracts for which candidates are hired
Work authorization that doesn't require visa sponsorship, now or in the future
May be subject to a government background check or security clearance, depending on the contract
