We seek a highly organized, proactive, and detail-oriented Executive Administrator to provide comprehensive, high-level administrative support to two senior executives. This role demands exceptional efficiency, quick follow-up, and a sense of urgency in all tasks. The ideal candidate is a true self-starter who thrives in a fast-paced environment, anticipates needs, and maintains the highest standards of confidentiality and professionalism. The Executive Administrator will serve as a key partner in enabling our executives to focus on strategic priorities by handling complex scheduling, board-level preparations, travel coordination, light event execution, and other critical administrative functions. Work onsite in the Powers Ferry area. No travel is required on this direct hire opportunity. RESPONSIBILITIES:

Manage and prioritize complex calendars for two executives, including scheduling meetings, appointments, calls, and commitments while proactively resolving conflicts and ensuring optimal time allocation. Provide rapid follow-up and expedited handling of all requests, communications, and action items to maintain momentum and meet tight deadlines. Build and refine high-quality presentation decks using PowerPoint or similar tools, incorporating accurate data, professional design, and executive-level polish. Prepare detailed board meeting minutes that capture key discussions, decisions, and action items with precision and clarity. Assemble and organize comprehensive binders (physical and/or digital) for board meetings, including agendas, reports, presentations, supporting documents, and any required materials. Coordinate arrangements, including flights, accommodations, ground transportation, itineraries, and detailed logistics to ensure seamless executive travel experiences. Perform general scheduling, coordination, and administrative tasks, including managing correspondence, preparing reports, maintaining files, and supporting special projects. Act with keen attention to detail across all deliverables, ensuring error‑free work and high-quality standards. Maintain strict confidentiality and exercise sound judgment when handling sensitive information. Anticipate executive needs and proactively address potential issues before they arise. REQUIRED SKILLS:

Minimum 5+ years of experience providing direct administrative support to C-level or senior executives (experience supporting multiple executives simultaneously is strongly preferred). Proven track record as a self-starter who takes initiative, works independently, and drives tasks to completion with minimal supervision. Exceptional organizational skills with the ability to manage multiple priorities in a dynamic, fast-paced environment. Demonstrated quick follow-up, sense of urgency, and expediency in completing tasks and communications. Keen attention to detail and a commitment to producing accurate, polished work product. Strong proficiency in Microsoft Office Suite including PowerPoint for presentations, Word, Excel, and Outlook for calendar/email management; experience with virtual collaboration tools (e.g., Zoom, Teams) is a plus. Excellent written and verbal communication skills, with the ability to interact professionally with board members, senior leaders, and external stakeholders. High level of discretion, integrity, and professionalism when dealing with confidential matters. Bachelor's degree preferred, or equivalent combination of education and relevant experience. PREFERRED SKILLS:

Prior experience preparing board materials, taking minutes, or supporting governance processes. Familiarity with travel booking platforms and expense management tools. Experience in event coordination or project support. Must be authorized to work in the US. Sponsorships are not available.
