
Assistant Director Finance (1496)

The Assistant Director of Finance provides leadership and oversight for financial operations within the Financial Aid Payment Office (FAPO). This role ensures compliance with federal, state, and local regulations, manages financial aid funds, and supports strategic initiatives aligned with Workforce Solutions’ mission to help employers meet workforce needs and individuals build careers. The position supervises accounting, funds management, and payment processing teams, ensuring accuracy, timeliness, and transparency in all financial transactions.
Responsibilities Includes Vendor Reconciliations & Payments
Oversee reconciliation of vendor accounts to ensure accuracy and timely resolution of discrepancies.
Implement processes for continuous monitoring of vendor transactions and compliance with payment terms.
Coordinate with Accounts Payable team to maintain vendor integrity and resolve disputes promptly.
Financial Reporting & Analysis
Prepare and submit monthly financial reports to Board staff, including executive summary, contractual obligations, and variance analysis.
Develop and deliver quarterly financial performance reports, including spend-down status and projections.
Generate monthly expenditure and projection reports detailing funding source, type of aid, customer name, vendor, and career office.
Maintain historical financial data to support trend analysis and forecasting.
Provide real-time dashboards and reporting tools for internal management and Board review.
Ensure compliance with reporting deadlines.
Budgeting & Forecasting
Monitor actual performance against budget estimates and implement tools for planning and forecasting.
Communicate budgetary information bi-weekly and monthly during operations calls.
Leadership Responsibilities
Manage and supervise a team of 20+ finance professionals, including accountants, funds specialists, and accounts payable staff.
Establish clear performance expectations and conduct regular evaluations to ensure accountability and excellence.
Foster a culture of collaboration, innovation, and continuous improvement within the finance team.
Provide mentorship and professional development opportunities to build leadership capacity across the department.
Ensure effective workload distribution and succession planning to maintain operational continuity.
Interdepartmental Communication & Leadership
Collaborate with other departments to ensure alignment of financial strategies with organizational goals.
Lead cross-functional meetings to address financial planning, compliance, and operational improvements.
Serve as a strategic advisor to department heads on financial matters and resource allocation.
Compliance & Audit
Ensure adherence to Federal and state policies and regulations.
Support internal and external audits, providing timely documentation and corrective actions.
Qualifications MINIMUM EDUCATION:
Bachelor’s degree in Accounting, Finance, Business Administration (Master’s preferred) or equivalent experience preferred.
YEARS OF EXPERIENCE:
Minimum 7 years financial management, 5 years leadership preferred.
