OCCUPATION: Account Service Representative JOB PURPOSE AND REPORTING STRUCTURE Under the supervision of the Controller, the Account Service Representative is responsible for completing all internal and external customer paperwork and communication for the direct purpose of shipping product, meeting customer needs and preparation of invoice.

ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned.

Answer customer inquiries regarding quotations, delivery information, status of jobs, weights and dimensions, ship dates, loading information, packing lists and final departure information.

Coordinate information between freight forwarders, customers, freight carriers and production facilities.

Prepare packing lists and bills of lading for daily shipments. Supply customers with appropriate information and forms.

Utilize Warehouse Management Systems (WMS) to track inventory, monitor order status, and ensure timely fulfillment of customer requests. Leverage WMS tools to resolve order discrepancies, shipment delays, and inventory issues efficiently. Process and update customer orders in WMS, ensuring accuracy in billing, shipping, and delivery timelines. Keep appropriate records for inventory management. Manage digital photo library.

Act as backup to sales personnel. Gather information for accurate invoicing.

Investigate and resolve customer complaints. Initiate tracers of lost orders, shipments and routings.

Host company receptions and tours. Provide assistance at trade shows and meetings as assigned. Complete customer documents.

Promote and contribute to a positive, cooperative working environment by backing up other Account Service Representatives and by taking overrun calls and providing breaks when necessary.

OCCASIONAL DUTIES May be temporarily assigned to perform other tasks requiring comparable or lesser skill levels. Additional duties as assigned.

JOB REQUIREMENTS To perform this job successfully, and individuals must be able to perform each essential duty satisfactorily. Must demonstrate the ability to exercise sound judgment. Requires the education generally found in a fourth-year degree and 3 years of relevant work experience or the equivalent of education and work experience. Must be computer literate and the ability to utilize spreadsheet and word processing software. Requires the ability to read, analyze and interpret company policies and procedures. PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to use hands to finger, handle, or touch objects or controls. The employee is occasionally required to stand, walk and reach above shoulders; stoop, kneel, crouch, or crawl; and talk or hear. The employee must occasionally lift and/or move up to 30 pounds, up to 10 feet away. Specific vision abilities required by this job include close vision.

WORK ENVIRONMENT The noise level in the work environment is usually moderate. Generally, work is performed in an office setting. Occasionally, the employee will work in the shop and be exposed to fumes and temperatures that vary due to weather conditions.
