
Marketing and Stewardship Coordinator

Position Summary
Reporting to the Senior Director of Gift and Estate Planning, this position leads all marketing and stewardship projects, initiatives, and programming for the Office of Gift & Estate Planning (GEP). It involves implementing new programs and executing existing policies and procedures for prospect tracking, individual donor relation plans, and marketing efforts; managing events such as the Heritage Society Tailgate; and creating a comprehensive communication plan for donors, prospects, industry professionals (financial planners, attorneys, accountants), and internal stakeholders. The role serves as the GEP liaison for the Development & Alumni Relations Communications Department (DARComm) and all vendors working with GEP.
Essential Qualifications
Bachelor’s degree in a related field or equivalent and 2 years of professional experience.
Preferred Qualifications
Bachelor’s degree and 3+ years of full‑time professional experience in relationship management, prospect research, development, sales, marketing, business administration, higher education, or project management.
Experience overseeing the creation of marketing and/or advertising campaigns through various media and targeted to different constituent segmentations.

Duties and Responsibilities
Marketing & Communications for Gift & Estate Planning
Lead all marketing communication efforts and projects, including appeals, stewardship, newsletters, industry professional communications, and website content.
Direct special design efforts to ensure all logos, graphics, and materials are university‑approved, compliant with charitable solicitation laws, and aligned with UGA branding and campaign messaging.
Analyze constituent records and develop market segmentation data to enhance the effectiveness of all marketing campaigns.
Print & Production Management
Lead all print and communication projects for GEP.
Collaborate with the division’s Communications Department (DARComm) on concepts and strategies to ensure branding and messaging consistency.
Obtain quotes from design and print vendors; maintain and develop vendor relationships.
Coordinate with up to 30 or more fundraising units to gather content and graphics.
Manage print vendor logistics, including variable data considerations.
Monitor and process invoices related to marketing and print projects to ensure timely payment.
Professional Advisor Communications
Draft and design materials specifically targeted to professional advisors.
Coordinate with the Trust and Estates Coordinator to ensure accuracy, appropriateness, and consistency of language and messaging.
Marketing Systems & Distribution
Create marketing efforts within the Giving and Alumni Information Link (GAIL) system.
Export distribution lists to print vendors using the UGA SendFiles platform.
Maintain and update the GAIL calendar to reflect mail and distribution dates.
Educational Resources
Oversee and maintain the GEP resource library for Development Officers and professional advisors.
Collaborate with DARComm to update and refresh resource materials as needed to reflect current gift vehicles and strategies.
Heritage Society Stewardship & Engagement
Coordinate delivery of Heritage Society gifts and acknowledgement letters, including Presidential acknowledgements.
Manage birthday and holiday cards and maintain an up‑to‑date Heritage Society member list.
Ensure inclusion of Heritage Society members in annual reports and impact statements.
Organize the annual Heritage Society tailgate to support engagement and stewardship efforts.
Special Projects & Presentations
Direct and manage special projects, including development and delivery of Gift & Estate Planning presentations and related initiatives.
Website Management & Analytics
Monitor the Office of Gift and Estate Planning website to ensure content remains current, accurate, and aligned with university branding and campaign messaging.
Oversee website redesigns as necessary to maintain relevance and compliance.
Review web analytics on a semimonthly basis to analyze traffic and engagement.
Maintain and present web traffic reports (e.g., page views, link clicks, available email data) and Planned Gift analytics at bi‑monthly GEP team meetings to support prospecting strategies.
Referral Tracking & Follow‑Up Oversight
Lead oversight of referral intake and tracking for all leads generated through the Office of Gift and Estate Planning’s proactive marketing and prospecting efforts.
Ensure timely dissemination of leads to appropriate units and confirm appropriate follow‑up actions are taken.
Physical Demands
Work in a standard office environment.
Sit and work at a computer workstation for an extended amount of time.
Work using electronic mail, telephone, face‑to‑face discussions, paper form correspondence.
Communicate effectively in writing, speaking, and listening.
Organize and establish priorities; remember details; multitask.
Lift and/or move up to 20 pounds.

Salary & Benefits Salary commensurate with qualifications and experience, based on an advertised $57,000+ base. This position is Benefits Eligible.
