Qualifications:

Valid Indiana Teacher License

Advanced degree in Administration, Management, Coaching or related field, preferred

Working knowledge of IHSAA rules, eligibility requirements, and event management expectations.

Successful experience coaching high school athletics, head coaching experience preferred.

CPR and AED certification, currently is or has the ability to become a BLS (Basic Life Support) Trainer.

Excellent communicator, in both written and verbal forms

Bonded or ability to be bonded at the standard underwriting guidelines for the position.

Proficiency with athletics‑related technology platforms (e.g., scheduling, ticketing, eligibility, scoring and communication systems)

Ability to work evenings and weekends

Program Leadership and Administration:

Organize and administer assigned components of the overall athletic program.

Provide leadership in the selection, support, and supervision of coaches in assigned sports/program areas.

Participate in the evaluation of head coaches and support ongoing coach development and compliance.

Maintain consistent department protocols, communicate expectations, and establish the vision for the Athletic Department.

Scheduling, Contracts, and Event Management:

Assume responsibility for the organization and scheduling of assigned athletic events and contests.

Coordinate contest contracts and schedules using department scheduling systems (e.g., Eventlink, Rankone, and conference/IHSAA tools).

Schedule and confirm officials through approved assigners; ensure payment processes are completed accurately and on time.

Develop game information sheets and operational plans for home events; ensure gym/field setup

Assign and supervise game‑day workers (ticketing, scoreboard/clock, PA, media, security, hospitality, and other roles).

Supervise home contests and respond to operational issues in real time, including crowd management and safety concerns.

Compliance, Eligibility, and Student‑Athlete Welfare:

Ensure adherence to IHSAA rules and guidelines, including required submissions and dated materials.

Support eligibility procedures (transfers, grades, physicals, roster verification, MyIHSAA submissions, and sectional/tournament requirements).

Coordinate and promote annual/spring student athlete physicals, as assigned.

Support Emergency Action Plan (EAP) readiness for venues and events; collaborate with administrators, athletic trainers, and security.

Technology and Media:

Manage and maintain accurate rosters, schedules, and game‑day information across department platforms (e.g., Rankone, Skyward, Eventlink, and other assigned systems).

Assist with tools and systems such as HUDL, and internal reporting/communication tools.

Facilities, Logistics, and Transportation:

Oversee practice schedules and facility usage for indoor and outdoor spaces in coordination with building administration.

Coordinate maintenance needs, supplies, repairs, and project communication for athletic areas as assigned.

Work with the transportation department to ensure timely bus/minibus scheduling and travel logistics for away contests.

Coordinate locker room assignments, keys/access, and venue readiness for events and tournaments.

Assist and organize concession stands/workers with schedules, and stocking products.

Financial, Purchasing and Human Resources Support:

Support event financial procedures including deposits, ticketing reconciliation, and worker payments as assigned.

Assist with HR‑related processes such as onboarding employees/volunteers, job postings, and required paperwork/training verification (e.g., NFHS Learn).

Ensures the efficient financial management of the overall athletic department by assisting with invoices being paid, approvals of purchase orders are completed, and orders are completed when accepting them

Athletic Recognition and Special Events:

Coordinate and support athlete recognition initiatives (e.g., award banquets, patches/rings, state awards signage, GPA recognition, and college signings).

Support scholarship and Mental Attitude nominations, team picture days, and seasonal awards systems as assigned.

Assist in planning and execution of hosted tournaments and special events

Any and all other duties as assigned by the Principal.
