Position Summary
We are seeking a detail-oriented and highly organized Order Entry Editor to join our team. This role is critical in ensuring the accuracy, completeness, and proper routing of customer orders prior to release. The ideal candidate will demonstrate strong judgment, accountability, and the ability to maintain focus in a fast-paced environment while working across multiple teams including Engineering, Customer Service, Sales, and external vendors.
Key Responsibilities
Order Review & Routing
Review all unreleased imports/not released orders for accuracy and completeness
Determine appropriate routing to: Engineering/Drafting (Application Engineering Teams), Customer Service, Sales Representatives, Customers
Utilize the Nailor System Program to edit and process orders with a high degree of accuracy
Communicate effectively with internal teams, customers, and third-party vendors
Coordinate with sister companies and manage inter-company transfers (ICO's)
Product & Vendor Evaluation
Verify product accuracy and assign correct vendors for buy/sell items, including AJ, Air Concepts, DACE, Jackson, Air Guide, Sunvent, KEES
Review and process: Terminal Units, Fan Coil Products, Fan Powered Products, VAV Products, Dual Duct Systems, Air Control & Distribution Products
Identify orders requiring Engineering review (e.g., DHRS
Duct Heaters)
Coordinate with Engineering/Drafting for required drawings
Manage re-submissions and revisions
Order Editing & Verification
Ensure all order details are accurate prior to release, including: Freight type and delivery requirements, Customer submission comments, Special models, handling, and instructions, Pricing, discounts, and authorizations: Special Price Quotes, SSD (Special Stocking Discounts), SDA (Special Discount Authorizations), Rush charges and special charges, Inter-company purchase orders and transfers, Buy/Sell products
Order Monitoring & Coordination
Monitor incoming emails continuously for order-related updates
Process requests from sister companies (Las Vegas, Safe Air, Toronto)
Manage order transfers and inter-company coordination
Controls Documentation & Validation
Verify completion of Customer Supplied Controls Forms
Assign placeholder dates (e.g., 12/11/2026) when required
Research and confirm project status (new vs. existing)
Communicate with customers to confirm control selections
Distribute forms electronically as needed
Production Coordination
Review and process Blue Cards from Production for Air Control / Distribution products

Qualifications
High school diploma or equivalent required; Associate's or Bachelor's degree preferred, 2+ years of experience in order entry, order management, or a related administrative role, Experience in manufacturing, HVAC, or industrial products environment preferred, Strong attention to detail with a high level of accuracy, Ability to manage multiple priorities and meet deadlines in a fast-paced environment, Excellent problem-solving and decision-making skills, Strong written and verbal communication skills, Proficiency in Microsoft Office (Excel, Outlook, Word); ERP or order management systems experience is a plus, Ability to work independently and collaboratively across departments *No Agencies*
