Purpose To assist with select donor events as determined by the Director of Donor Engagement and the Associate Director of Special Events; work with Opera staff, board members, donors, and vendors to successfully support Opera-related event functions.

Essential Job Functions

Serve as the main point of contact for donor inquiries, managing dedicated event phone lines and emails; track and ensure accurate record-keeping.

Collaborate as part of the special events team to create and maintain comprehensive event calendars across multiple platforms.

Develop and oversee the production schedule for event invitations, including coordinating design, proofreading, printing, Tessitura promotion, and deployment.

Serve as the point of contact for events-related vendors (designers, printers, mail houses, etc.) orchestrating the delivery of all event materials—on time and to the highest standard.

Coordinate Tessitura for the Special Events Department, working with the Tessitura team and Donor Services.

Administrative support for the Donor Engagement team including coordinating scheduling meetings, committee meetings, site visits, internal working group meetings, and general administrative support as needed.

Coordinate timelines and logistics for seated events.

Secondary Functions

Maintain and organize all event supplies; organize, prepare, and coordinate transportation for all event supplies.

Provide support to the Manager of Stewardship for routine maintenance of the Intermezzo Lounge.

Coordinate and manage in‑kind product inventory, delivery, and storage.

Organize, prepare, and maintain special event files for each event including event collateral.

Serve as backup administrative support for other departments within Development.

Work with the Stewardship Manager to ensure in‑kind donors are recognized and acknowledged properly.

Support the Director of Research as needed with special projects.

Perform other job‑related duties as assigned.

Education Bachelors Degree from an accredited college or university (preferred), or equivalent work experience.

Experience

2 years of customer service experience in a retail or restaurant setting.

Event planning experience preferred.

Prerequisite Skills & Requirements

Keen attention to detail.

Proficiency in Microsoft Office applications; database skills desirable.

Ability to work independently; prioritize tasks; and exercise good judgment and initiative.

Ability to manage multiple, competing priorities successfully.

Ability to thrive in a fast‑paced, rapidly changing environment.

Outstanding interpersonal skills including the ability to interact with all staff in a professional, confidential and tactful manner.

Ability to communicate clearly and effectively, both orally and in writing.

Ability to use a dolly and lift up to 35lbs.

Ability to work some evenings and weekends as dictated by event and performance schedule.

Reliable daily attendance and punctuality.

Must perform the functions of the position in a safe manner.

Desired Start Date May 6, 2026

Benefits Pay Range : $33 - $38 Hourly
