Executive Business Manager

OUR ROLE

Proactively manage complex, dynamic calendars for multiple executives, resolving scheduling conflicts, prioritizing meeting requests, and blocking time for strategic work

Act as the primary point of contact between executives and internal/external stakeholders, maintaining effective communication channels

Assist in the management of special projects, tracking milestones, and ensuring accountability across departments

Respond to emails, as delegated, on behalf of senior leaders, ensuring timely follow-up

Identify bottlenecks in executive workflows and implement new systems or AI tools to increase efficiency

Prepare agendas (90io), meeting materials, presentations (PowerPoint/Canva), and minutes for board meetings and senior leadership meetings

Compile, analyze, and verify data to generate reports, KPI dashboards, and briefing documents for executives

Arrange comprehensive domestic and international travel, including itineraries, visas, flights, hotels, and ground transportation; plan and execute off-sites, board meetings, and company-wide events

OUR TOP CANDIDATE

Minimum 2 years experience providing high-level executive assistant support to C‑Suite or senior leadership; experience simultaneously supporting multiple executives preferred

Proven ability to handle sensitive, proprietary and confidential information with absolute discretion

Exceptional written and verbal communication skills; ability to draft correspondence on behalf of executives

Excellent organizational, prioritization and problem‑solving skills

High level of accuracy, attention to detail and professionalism

Bachelor’s degree in related field or equivalent experience or training

Ability to lift up to 20 pounds with frequent lifting and or carrying of objects weighing up to 10 pounds; requires walking and or standing to a significant degree

Ability to sit for extended periods of time
