Job Summary
Under limited supervision, provide advanced secretarial and administrative support to a President or Vice President.
Responsibilities
Relieve supervisor(s) of certain administrative duties in daily operations of the department.
Compose a wide variety of written documents and correspondence.
Prepare and type presentations, memoranda, letters, and reports.
Compile statistical data and generate complex financial and operational reports.
Set up and maintain complex and often confidential files, databases, records and schedules.
Answer telephone calls and provide information to internal and external customers and the general public.
Develop and maintain operating policies, procedures, and practices.
Interpret established policy and provide information for the resolution of problems.
Receive and review incoming mail, handling responses or forwarding to supervisor as necessary.
Make travel and lodging reservations; prepare, submit and coordinate travel and expense reports.
Arrange venues for meetings and conferences; prepare meeting agendas; take, transcribe and distribute minutes of administrative meetings.
Attend meetings as a representative of the supervisor when required.
Minimum Requirements
Five (5) years of administrative/secretarial experience.
Preferred Qualifications
High School diploma or GED.
Expertise with Outlook scheduling assistant.
Experience managing site tours, including calendar, transportation, tour guides, and Health & Safety processes.
Knowledge of reconciling purchasing card (P‑card) transactions.
Expertise in administering company policies related to Travel and Entertainment, Concur or similar software, and corporate card management.
Experience creating various check requests.
Benefits and Compensation The estimated pay range for this role is $26.73 - $40.10/hour. This reflects base salary only and does not include bonus payments, benefits, or retirement contributions.
