
External Relations Associate
Rothko Chapel, Houston, TX, United States
Schedule: Monday – Friday, 9am-5pm with some evening or weekend work per the event schedule
Position Overview The External Relations Associate helps manage all data for Rothko Chapel donors, visitors, program attendees, guests, and subscribers. This position also assists the Development Department in donor recognition and other fundraising logistics/tasks.
Responsibilities Development
Maintain donor records and data in donor CRM (currently Clearview, Blackbaud as of July 2026) to ensure accurate donor information/profiles and records of pledges and payments
Draft, print (if applicable) and send donor acknowledgements
Reconcile donations and other income with Finance/Accounting monthly
Support the Chief Development Officer in outreach to donor prospects and current donors as well as assist in processing payments as needed
Ensure donation data from other systems/processes are properly recorded in donor CRM
Communications
Maintain data in communications CRM(s), ensuring profiles are segmented and/or categorized in a manner that allows communications to be sent to targeted audiences as needed
Ensure registrations and profiles for newsletter or other subscriptions are maintained and accurate
General
Ensure any automated processing of data between systems is functioning and processing accurately
Attend all staff meetings, Chapel activities, special events and programs as needed.
Represent the Chapel and embody its core values.
Attend community events and be an ambassador for the Chapel as requested.
Perform all other duties as assigned by the Chief Development Officer or President
Qualifications, Skills & Abilities/Attributes
1-3 years of database management experience or demonstrated experience with large datasets
Experience with Microsoft Office, donor CRMs, or communications CRMs
Works collaboratively within a small team environment and across cultural backgrounds
Efficient multi-tasker with established time-management skills
Highly organized with meticulous attention to detail
Excellent written and verbal communication skills
