Reporting Reports To: Clinical Supervisor / Marketing Director

Job Overview The SAMHSA Case Management Specialist plays a vital role in ensuring program accountability, client tracking, and compliance with reporting and productivity benchmarks under SAMHSA-funded initiatives. This position serves as a central point of coordination between clinical staff and the data management team to support service delivery, ensure clients meet engagement benchmarks, and identify trends or areas for improvement. In addition to clinical operations, the role will provide vital support to the development team through fundraising event planning, stakeholder engagement, and marketing collaboration. This cross‑functional role is ideal for someone highly organized, data‑savvy, and passionate about advancing health equity through service excellence and sustainable funding.

Responsibilities

Client Progress Tracking & Productivity Monitoring – Monitor all active clients to ensure completion of required services, including timely follow‑ups, completion of exit surveys, and a minimum of three clinical encounters per client before discharge. Maintain a master productivity tracker and update the clinical team regularly.

Quarterly & Annual Performance Monitoring – Track progress toward SAMHSA benchmarks, generate monthly and quarterly reports, and highlight gaps or deficiencies with summaries and data visuals.

Clinical Department Support – Provide real‑time feedback on overdue tasks, missing data, or client service gaps, and create shared spreadsheets with color‑coded client lists indicating overdue follow‑ups, missing documentation, and upcoming deadlines or risk for non‑compliance.

Collaboration with Data & Compliance Teams – Partner with the Data Manager to align tracking tools, stay current on reporting guidelines, and support reconciliation efforts when discrepancies occur.

Quality Assurance & Strategic Input – Participate in meetings, offer data‑informed recommendations, and flag systemic issues to improve workflows.

Fundraising Event Coordination – Assist in planning and executing events: secure venues, manage budgets, coordinate staff and volunteers, develop timelines, task lists, checklists, and assess event success through post‑event reports.

Fundraising Opportunity Development – Research new opportunities (donors, corporate sponsors, grants), monitor trends, and propose innovative campaigns tailored to target audiences.

Stakeholder Communication – Assist with scheduling and preparing stakeholder meetings, and maintain an organized stakeholder database.

Marketing Campaign Collaboration – Work with the marketing team to design outreach strategies, support content assessment for email, social media, flyers, digital ads, and monitor campaign reach and engagement, adjusting strategies based on real‑time data.

Requirements

Strong organizational and analytical skills with ability to manage multiple priorities across clinical and administrative functions.

Proficiency in Microsoft Excel, Google Sheets, and data‑visualization platforms (e.g., Google Data Studio, Excel).

Knowledge of clinical service documentation, productivity benchmarks, and client engagement metrics (preferably SAMHSA‑related).

Experience creating and maintaining color‑coded tracking systems.

Skilled in developing reports that summarize trends and identify areas for improvement.

Experience collaborating with data managers and understanding grant reporting requirements.

Excellent communication skills for timely feedback to multidisciplinary teams.

Comfort leading or co‑leading fundraising events, including budgeting, scheduling, and volunteer coordination.

Flexibility to assist with outreach strategies, campaign content, and performance‑based marketing adjustments.

Qualifications

Bachelor’s degree in Public Health, Social Work, Psychology, Nonprofit Management, or related field (Master’s preferred).

At least 2–3 years of experience in clinical program operations, behavioral health support, or nonprofit work.

Strong understanding of trauma‑informed care, behavioral health workflows, and data‑driven program evaluation.

Experience supporting fundraising, donor relations, and community engagement activities.

Excellent time management, problem‑solving, and interpersonal skills.

Ability to work independently and collaboratively in a fast‑paced, mission‑driven environment.
