Job Summary At Andy Citrin Injury Attorneys, our receptionists are more than office assistants. They are a very visible member of our team and as such, they serve as our Ambassador of First Impressions! With overall responsibility for delivering extraordinary client service, the Ambassador of First Impressions must be professional, polished, energetic and genuinely interested in making other people feel special. The individual in this position plays a key role in setting the tone for the organization. As the first and last person clients see when they are in the office, the Ambassador of First Impressions is instrumental in making sure clients have a positive experience that exceeds their expectations.
Duties/Responsibilities
Greets incoming appointments and visitors and makes them feel comfortable when they visit the office
Answer and route incoming phone calls
Opens and distributes firm mail, faxes and other material
Orders and handles office supplies, maintain business cards, stationary, envelopes etc.
Maintains general office equipment (copier, fax, mail machine, etc.)
Manage general office aesthetic (lobby/conference room/breakroom)
Maintaining Firm/Conference room calendar
Prepares room and materials for client/prospect meetings
Scanning and electronic filing
Provide administrative support to team
Assist with Intake as needed
Various administrative tasks as needed including subrogation
Distribute and coordinate client and employee birthday cards
Required Skills/Abilities
Excellent interpersonal skills
Neat, polished, professional presentation
Excellent verbal and written communication skillsA strong sense of customer service
Excellent attitude and an extraordinary client service orientation
Excellent organizational and time management skills
An ability to handle multiple tasks and operate in tight deadlines with minimal supervision
Proficient in Word, Excel, and Outlook
Minimum 2 years’ customer service experience
Experience working in a legal office environment a plus, but not required
Bilingual (English/Spanish) a plus
Education/Experience
High school diploma or equivalent required.
Physical Requirements
Prolonged periods of sitting at a desk.
Must be able to lift up to 15 pounds at times.
