Qualifications The Assistant Director of Business and Finance must have a bachelor’s degree in Accounting, Business Administration, Public Administration, or a related field.
Candidates should be able to interact effectively with diverse individuals and handle sensitive information with discretion.
Preference will be given to candidates with experience in school or district financial management, including payroll, accounts payable, general accounting systems, and district-wide budget planning and monitoring.
Knowledge of and experience using Enterprise ERP (MUNIS) or similar financial platform is preferred.
Proficiency in Microsoft Excel and Google Workspace applications is essential.
Strong written and verbal communication skills are essential.
Responsibilities The Assistant Director of Business and Finance is responsible for supporting the Director of Business and Finance in budget development, financial planning, and monitoring of expenditures across all accounts, including grants and revolving funds.
The role includes general ledger functions, payroll, accounts payable, and reporting processes; ensuring accuracy, compliance, and timely submission of federal, state, and local financial reports.
Collaboration with Human Resources, school leaders, program directors, and staff to communicate financial procedures and support operational planning.
Assist with audits, grant administration, contracts, and school district projects.
Essential Duties:
Supports the preparation, publication, and management of the annual budget.
Prepares schedules and reports to support budget development.
Monitors monthly expenditures to ensure budget‑to‑actual compliance across all accounts, including grants and revolving funds; prepares variance analyses for over‑ or under‑budget accounts.
Assists with payroll projections and budget‑to‑actual reporting.
Records cash receipts and performs general ledger reconciliations.
Oversees accounts payable, payroll, and warrant processing to ensure accuracy, compliance, and timely processing.
Prepares financial and operational reports using MUNIS, Excel, and other accounting software; keeps the Director fully informed on business and accounting operations.
Assists with bid specifications and contract administration in compliance with Massachusetts General Laws.
Prepares monthly financial reports for the Business and Finance Subcommittee in collaboration with the Director of Business and Finance.
Assists in completing the End‑of‑Year Financial Report to DESE and Excess and Deficiency reporting to the Division of Local Services.
Ensures timely filing of all federal and state financial reports.
Coordinates activities related to the annual audit.
Coordinates with grant managers on submissions, amendments, monthly fund requests, and DESE annual final reports; communicates updates or issues to relevant stakeholders.
Works closely with the Human Resources Office to track staffing changes and ensure payroll data accuracy.
Collaborates with principals, program directors, curriculum leaders, and central office personnel to communicate and train staff on budget procedures and protocols.
Supports the Director on financial management of school nutrition, transportation, and facilities planning.
Serves as the school district’s liaison for school building projects and coordinates with Town facilities staff as needed.
Attends municipal, School Committee, subcommittee, and other government meetings as requested.
Assists the Director of Business and Finance on district‑wide financial and operational matters.
Assists in developing financial models and cost analyses for collective bargaining when needed.
Performs additional responsibilities as assigned by the Director of Business and Finance.
Terms of Employment This is a twelve‑month professional position. Employment is contingent upon a satisfactory criminal background check and fingerprint clearance. An annual performance evaluation will be conducted by the Director of Business and Finance.
Physical Requirements
Ability to sit or stand for extended periods while performing office tasks.
Ability to operate standard office equipment, including computers, phones, copiers, and printers.
