Position Summary We are seeking a highly organized, proactive, and detail-oriented Property Management Administrator to support the day-to‑day operations of our property management division. This person will play a central role in maintaining our core systems, organizing schedules for maintenance and the team, ensuring effective communication with all parties, and supporting the overall efficiency of our growing property management business.
Core Responsibilities
System Management & Organization
Property management software-AppFolio, CRM, and internal databases accurate and updated
Track key dates for leases, renewals, inspections, and maintenance schedules
Organize and digitize property files, documents, vendor information, invoices, etc.
Communication & Coordination
Serve as the primary point of contact for tenant inquiries (non-emergency)
Communicate updates with owners, tenants, vendors, and team members
Assist in drafting and sending formal communication (notices, updates, evictions, etc.
Scheduling
Coordinate property showings, leasing contracts and all schedules for owner
Manage calendar for recurring property checks, seasonal maintenance, etc.
Email & Inbox Management
Monitor and manage the property management email inbox daily
Respond to routine inquiries and flag issues for the property manager
Draft and send follow‑up emails on behalf of the team
Ideal Candidate Profile
Detail‑oriented and thrives on keeping systems clean, organized, and up to date
Excellent with communication, both written and verbal
Proactive in problem‑solving and managing recurring tasks
Tech‑comfortable (experience with Google Suite, AppFolio)
Reliable and discreet with sensitive property and tenant information
Able to work independently while staying connected with the team
Requirements
Previous administrative or property management experience preferred
Strong time management and organizational skills
Proficient with AppFolio and other systems that run our organization
Customer service and servant mindset
Professionalism in communication and behavior
