PAP Specialist
At AdaptHealth we offer full-service home medical equipment products and services to empower patients to live their best lives – out of the hospital and in their homes. The PAP Specialist has a broad range of responsibilities including accurate and timely data entry, selecting inventory and services in key databases, communicating with referral sources, and using technology to document patient information. Intake scheduling may vary based on branch needs; hours can range from 8am to 7pm, seven days a week.
Responsible for ensuring customers receive PAP equipment by scheduling appointments for pick‑up and providing instruction on proper use. Explains customers’ financial responsibility and ensures payment. The Specialist prepares and submits audit paperwork for Medicare and other insurance claims, responds to claim audits, and communicates audit results to provide education and process changes that impact daily functions. The Specialist monitors, communicates, and manages all clients on Positive Airway Pressure devices, encouraging compliance with PAP equipment and program.
Job Duties
Develop and maintain knowledge of current HME products and services and applicable insurance guidelines for coverage and reimbursement.
Actively participate in team activities, mentoring, and training co‑workers.
Assist in developing and maintaining reference materials for staff and facilitate information sharing.
Build relationships with branches and other teams to accomplish goals.
Attend monthly team meetings and trainings.
Accurately enter data into the database, including payer information, authorization requirements, coverage limitations, and status of any requalification.
Collaborate with physician offices, AdaptHealth sales, and support staff to ensure timely receipt of documentation and provide education as necessary.
Identify trends and provide feedback and education on compliant documentation requirements for services provided.
Maintain patient confidentiality and operate within HIPAA guidelines.
Complete assigned compliance training and other educational programs as required.
Maintain compliance with AdaptHealth’s Compliance Program.
Perform other duties as assigned.
Minimum Job Qualifications
High School Diploma or equivalent.
One (1) year of work‑related experience in health care administrative, financial, or insurance customer services, claims, billing, call center, or management, regardless of industry.
Senior level requires two (2) years of work‑related experience and one (1) year of exact job experience.
Exact job experience may include any of the above tasks in a Medicare‑certified HME, Diabetic, Pharmacy, or home medical supplies environment that routinely bills insurance.
