ASSISTANT TO THE PARKS & RECREATION DIRECTOR

Job Title

Performs varied and independent work assisting the Parks & Recreation Director and the department in the performance of daily clerical and administrative duties. Essential Job Functions

Assists in monitoring and updating departmental priorities, policies, and procedures; Assists in the coordination of departmental budgets, and other finance related activities; Responsible for payment and monitoring of department expenditure and revenues through the City's financial software system. Assists Director in preparing and updating the department's annual budget based on knowledge of past expenditures, current needs and department goals and priorities. Works to coordinate deliverables and monitor project deadlines based on Director's objectives; Prepares memos, letters, reports and professional correspondence as requested by Director. Represents and assists the Director in preparing for various meetings and community activities; Serves as liaison on administrative matters affecting other City departments; Serves as board secretary to the Parks & Recreation Commission; Screens visitors, telephone calls and incoming mail; Reminds supervisors of appointments or other matters that should be called to their attention; Maintains personnel records for the department of a confidential nature; Orders supplies and keeps track of inventory for the department; Supervises the daily activities of front desk personnel and assists in the evaluation of performance; Assists with developing, installing and maintaining office systems, forms and procedures. Responds to residents' request and follows up in a timely manner. Minimum Requirements

Bachelor's degree in Public or Business Administration or related field plus considerable experience of an increasingly responsible nature in governmental administration. OR Associates Degree plus three (3) years' experience of an increasingly responsible nature in governmental administration. OR An equivalent combination of training and experience which provides the required knowledge, skills, and abilities. Skills

Considerable knowledge of public administration and project management; Considerable knowledge of City ordinances and regulations; Considerable knowledge of the principles and practices of accounting, auditing, budget and management; Good knowledge of research techniques, sources and availability of information; Ability to implement administrative procedures and to evaluate their effectiveness; Ability to exercise sound judgment and discretion in establishing, applying and interpreting departmental policies and procedures; Ability to analyze a variety of administrative, operational and fiscal problems and to make sound recommendations for solutions; Ability to deliver proficient comprehensive reports through written and oral communication Ability to establish and maintain effective working relationships with co-workers, elected officials, the general public and representatives of other agencies.
