Account Clerk II

The Account Clerk II performs a variety of administrative and financial duties in support of the City Treasurer's Office. This position is responsible for processing business license applications, renewals, and inspection requests; importing and tracking electronic payments; preparing monthly financial reports; and issuing ordinance violations. The role also provides frontline customer service by assisting walk-in customers, responding to phone inquiries, and processing payments for City services. Education: High School Diploma or GED Experience: Two years of relevant work experience is required. Responsibilities of the Account Clerk II include, but are not limited to, the following: Processing Business Licenses: - Manage the intake, review, and renewal of all business license applications, and coordinate inspection requests with the appropriate departments. Importing and Tracking Payments: - Import weekly electronic payment batches into the City's accounting systems, ensuring that data is accurate and complete. Preparing Financial Reports: - Generate monthly reports summarizing payment activity, license status, and other financial records for internal use or public records. Issuing Ordinance Violations: - Document and process violations of ordinances related to business licensing and other enforcement actions from the Treasurer's Office. Answering Phone Inquiries: - Handle incoming calls by providing assistance or redirecting callers to the appropriate department or resource. Assisting Customers at the Counter: - Deliver in-person customer service by answering questions, issuing forms, and accepting payments. Processing City Payments: - Accept and record payments made to the City for various services, including licenses, citations, or fees, ensuring proper cash handling and documentation. The individual in this role is expected to contribute to the team's efforts by completing other related tasks as needed. Success Framework: - Knowledge of business license processes, local ordinances, and municipal regulations. - Understanding of basic accounting principles and financial practices. - Familiarity with customer service standards in a government office setting. - Proficiency in using accounting and payment software. - Skills in Microsoft Office applications, including Excel. - High accuracy in data entry. - Effective written and verbal communication skills with internal and external stakeholders. - Ability to maintain accurate financial records and generate reports. - Capability to interpret and apply municipal codes and licensing requirements. - Competence in responding courteously to the public and resolving routine issues. - Skill in securely handling cash and processing transactions. Equipment and Tools: - Microsoft Office, Calculator, Printer, BS&A Software, GIS. Work Environment: - May occasionally be exposed to uncomfortable temperatures, humidity, noise, chemicals/gases, contagious diseases, airborne particles, pathogens, and/or physical trauma. Physical Abilities: Ability to sit and stand for extended periods. The capability to perform repetitive wrist, hand, and fine motor movements. Strength to grasp, pull, push, and reach. Ability to talk, hear, listen, and comprehend. Visual acuity for tasks requiring attention to detail at both long and short distances, including three-dimensional vision and precise hand/eye coordination. Must be able to lift up to 20 lbs.
