Position Summary We are seeking a strategic and operationally driven Director of Infusion Intake to lead and optimize our intake process to ensure efficient, accurate, and timely management of inbound referrals, as well as the maintenance of our existing patient base. This role is responsible for overseeing a high-performing team of 20+ intake specialists and driving continuous improvement through the development and management of SOPs and KPIs. The ideal candidate brings strong leadership, process design expertise, and a data-driven mindset to enhance patient access and operational excellence.
Primary Duties
Lead, mentor, and develop a team of 20+ intake and referral specialists, with direct oversight of two Assistant Managers, fostering a culture of accountability, collaboration, and continuous improvement
Design, implement, and maintain standardized operating procedures (SOPs) to ensure consistency, compliance, and efficiency across all intake processes
Establish, track, and report on key performance indicators (KPIs) related to referral processing, turnaround times, and accuracy
Analyze performance data to identify trends, gaps, and opportunities; proactively refine workflows and KPIs to improve outcomes
Partner with the clinical, billing, and operations teams to streamline referral-to-treatment workflows
Act as a subject matter expert for referral intake processes and serve as a key stakeholder in system implementations or upgrades
Develop and deliver training programs to ensure team competency and adherence to SOPs
Forecast additional staffing needs based on current referral trends and workload capacity
Preferred Qualifications
5+ years of experience in healthcare operations, infusion services, or referral/intake management
3+ years of leadership experience managing large teams (15–20+ employees)
Proficiency in all Microsoft Office applications, particularly MS Excel
Proven experience developing SOPs, KPIs, workflow optimization, and performance dashboards
Strong analytical skills with the ability to translate data into actionable plans
Experience with EMR systems and referral management platforms
Deep understanding of payer requirements, prior authorizations, and infusion workflows preferred
Excellent communication, leadership, and process management skills
Educational / Professional Requirements
Bachelor’s degree required; master’s degree or relevant advanced training preferred
