Position Overview The Director of Administration is responsible for managing compliance, information, and operations and administrative systems across the organization and Resilient Strategies’ network of partners. This includes supervising and developing admin and compliance staff, overseeing and strategically managing organizational compliance including government registrations, insurance, and contract management, and assessing and developing administrative systems for RS and our network of partners. The Director of Administration reports to the Managing Director.

ROLES AND RESPONSIBILITIES Supervision and Team Management (10%)

Recruits, interviews, hires, and trains new staff in the admin department.

Provides training and support to administrative staff across the organization.

Provides constructive and timely performance evaluations.

Supervises Compliance team staff.

Organizational Compliance Management and Monitoring (40%)

Manage all necessary registrations.

Oversee applicable entity registrations and management.

Ensure compliance with local and federal regulations regarding business operations.

Ensure compliance with any size requirements.

Manage Insurance.

Plan and oversee organizational insurance coverage for all appropriate entities in the network.

Develop and implement policies and procedures for the insurance department.

Manage the coordination with insurance brokers to find the most suitable insurance coverage for the organization.

Analyze the organization’s risk and design insurance policies accordingly.

Oversee the coordination with other departments to handle insurance-related issues.

Ensure the maintenance of records of insurance policies and claims.

Make final approvals on insurance claims.

Analyze and report on insurance claims to identify trends and potential risks.

Ensure the organization’s compliance with insurance laws and regulations.

Manage the insurance budget and negotiate insurance premiums.

Provide advice and guidance to management on insurance related matters.

Oversight of all Contractual agreements.

Fee for Service; Service Agreements; Leases.

Oversight of Earned Income sources.

Oversee all compliance and regulatory requirements for earned income sources, such as earned rental income, earned income from events and office rentals, and earned income from fee for service contracts.

Partner Support (30%)

Develop and implement Operations and Administrative Systems for RS Network Partners.

Deploy to work with Partner Organizations to address unique needs for time-limited projects.

Provide supplemental services to RSN Partners for operations, finance and administration.

Administrative (20%)

Organizational file management.

Documentation and retention strategies for the organization.

SOPs, Deletion.

Oversight of shared information systems.

Oversight of organizations internal use of technology systems.

Required Qualifications

Strong leadership and management skills, with experience building and leading high-performing teams.

Excellent analytical, problem-solving, and decision-making skills.

Strong communication and interpersonal skills.

Thorough knowledge of employment-related laws and regulations.

Proficiency with or the ability to quickly learn the organization’s HRIS management systems.

System and Process thinking, able to help scale the organization as needed.

At least five years of human resource experience at a management level required.

Work Environment / Physical Demands This position will work out of Oakland; Hybrid work schedule of 2 days in-person / 3 days work from home; open to remote placement for folks who can travel to the bay area regularly (4 times per year). Must be able to work on a computer including sitting at a desk for extended periods of time with or without reasonable accommodation; manual dexterity to operate a keyboard; able to see or read a computer screen and printed material with or without vision aids; able to speak clearly and in audible tones on the phone and in-person and be understood by others; able to hear and understand speech, including on the phone; able to understand and follow oral and written instructions; able to occasionally lift objects weighing up to 10 pounds, etc.

Salary and Benefits Salary Range: $85,000.00 To $100,000.00 Annually. The position is full-time and exempt. We offer a competitive health benefits package that includes medical, dental, vision, and a generous paid time off schedule.
