
Customer Service Representative (HVAC)

The ideal candidate is professional, customer focused, detail-oriented and a team player. Experience in an HVAC setting is preferred; however, we are willing to train the ideal candidate.
Requirements:
A strong degree of self-motivation to provide exceptional customer service to customers by phone
Strong computer skills: proficiency with Microsoft Office software, experience with ServiceTitan preferred (but not required)
Ability to work Monday – Friday, 8am to 4:30 pm
Ability to multi-task
Marketing experience and/or degree preferred (not required)
Knowledge of the local geographic territory
Knowledge of HVAC industry is highly recommended (but not required)
High school diploma or general education degree (GED)
Two years related experience and/or training in customer service, dispatching or equivalent combination of education and experience
Job Responsibilities include (but are not limited to) the following:
Take incoming customer calls
Understand customer’s needs in order to accurately relay the information to the responding technician
Schedule and coordinate service calls as calls as received
Create dispatch ticket for all service calls
Respond to all customer messages left overnight
Assist with maintaining the dispatch board
Assist with maintaining service agreements, including billing, scheduling, database information, customer hard files and renewals
Help Service Manager with marketing issues as directed
Update customer files as information is received from installations (Extended warranties, equipment info, new customers, etc.)
Type service contract proposals for new customers
Maintain customer history files in database
File service orders
Prepare paperwork for manufacture warranty parts
Make outbound calls to customers to schedule appointments for maintenance agreements
Sending account statements
Other duties as assigned
