Primary Role Assist the Director of Property Management for Mainstay in the day-to-day operations of a diverse portfolio, including short-term rentals, long-term residential properties, and select commercial units. This role serves as a key on-the-ground presence in the Richmond and Colonial Beach markets, partnering closely with a remotely based Director to ensure seamless and efficient property operations.
Essential Job Functions
Serve as a primary point of contact for residents, guests, and property owners, delivering clear, timely communication and a high standard of customer service across all property types
Support all aspects of leasing and booking operations, including marketing, showings, guest and tenant communication, screening, and lease or reservation execution
Assist the Director in achieving quarterly and annual goals related to leasing, occupancy, inspections, renewals, and overall portfolio performance
Conduct move-in, move-out, and routine inspections; document property conditions and identify maintenance or operational needs
Manage incoming maintenance requests by coordinating with vendors, dispatching services, and communicating updates to residents, guests, and owners under the Director’s guidance
Foster strong relationships and customer loyalty by delivering responsive, solutions-oriented service to residents, guests, owners, and vendors
Additional Responsibilities
Support short-term rental operations, including pre-arrival inspections, inventory management, and coordination of furnishing replacements as needed
Provide timely assistance to guests during their stay, addressing questions and resolving concerns to ensure a positive experience
Pursue ongoing professional development through training, industry resources, and networking opportunities
Identify opportunities to improve operations and contribute thoughtful recommendations to enhance efficiency and performance
Maintain flexibility to work varied schedules, including occasional evenings, weekends, on-call responsibilities, and attendance at meetings or trainings as needed
Physical Demands Employees must be able to perform the essential functions of this role, with reasonable accommodations as needed. Duties include:
Working at a computer, communicating with team members, clients, and vendors, and performing standard office tasks requiring visual and manual dexterity
Traveling to properties, walking and standing for extended periods, climbing stairs, and occasionally lifting up to 30 lbs
Operating a motor vehicle and visually assessing property conditions

Qualifications
Must possess or acquire (within specified timeframe) a Virginia Real Estate Salesperson’s License
Bachelor’s Degree in Real Estate or Property Management preferred. Certificates in Real Estate or Property Management, degrees in business and marketing desirable
Self-motivated, high-energy person with attention to detail
Ability to maintain confidentiality
Poised under pressure while maintaining a customer focus
Ability to work well independently and with a team
Excellent time management and organizational skills
Demonstrated judgment and problem-solving ability
Knowledge of Microsoft Office including Word, Excel, PowerPoint and Outlook
Exhibits polished and professional communication across all channels, including phone, in-person, and email
Valid driver’s license and insurance, reliable transportation
