The Assistant Property Manager supports the Property Manager and Operations Manager in overseeing daily operations, managing tenant relations, and ensuring the financial, administrative, and physical performance of the property portfolio.

Qualifications & Skills High school diploma or equivalent Previous property management or related experience preferred Proficiency in AppFolio (or similar software), Microsoft Office and Google Drive Strong communication and interpersonal skills Excellent organizational and time management abilities Basic understanding of California landlord‑tenant laws preferred
Key Responsibilities Tenant Relations Serve as a primary point of contact for tenants Respond promptly to inquiries, concerns, and maintenance requests Assist with lease preparation, renewals, and notices Coordinate showings and assist with tenant onboarding Escalate complex issues appropriately
Property Operations Coordinate maintenance and repairs with approved vendors Conduct routine property inspections Ensure properties are clean, safe, and compliant Follow up to ensure completion and quality of work
Administrative Duties Maintain accurate and organized files and records Prepare notices, correspondence, and reports Assist with marketing and listing updates
Daily Expectations Answer phones promptly and professionally: "Wayland Properties, this is [Name]" Respond to AppFolio, Zillow, and inquiry messages daily Schedule showings efficiently (group when appropriate) Process mail, rent checks, and receipts accurately Coordinate maintenance requests Communicate regularly with supervisor
Compliance & Professional Standards Employee agrees to:
Comply with all Fair Housing laws and regulations Follow all California landlord‑tenant laws Adhere to DRE trust fund handling procedures Maintain strict confidentiality of tenant, owner, and company data Use company systems for all business communications Employee will not perform any activities requiring a real estate license unless properly licensed and authorized.
Work Environment & Policies Primarily office-based with fieldwork (showings, inspections) In‑person role (no remote work permitted) Schedule coordinated with supervisor
Time & Conduct Expectations Accurate time tracking required No off‑clock work permitted Personal phone use limited during working hours Mileage reimbursed for approved business use only
Attendance Notify supervisor at least
2 hours in advance
if late or absent
Supervision The Employee reports directly to
Supervisor
and must coordinate scheduling and daily workflow accordingly.
