Real Estate Coordinator Company Description Spigel Properties is a second-generation commercial real estate company, with holdings in several U.S. States, headquartered in San Antonio, Texas. Spigel Properties is led by the Owner and President, Stuart Spigel, and the CEO, James Iacuone. The portfolio is composed of shopping centers with strong concentrations in Michigan, Ohio and Texas.

Role Description Position:

Full time, work from home Fridays

Location:

San Antonio, TX (Near the Airport)

Essential Duties and Responsibilities Preferred Experience and Qualifications

Bachelor’s degree in Business and/or Real Estate; OR any equivalent combination of experience and/or dedication from which comparable knowledge, skills and abilities have been achieved.

Proficiency in Microsoft Word, Excel, PowerPoint and Outlook required.

A high level of motivation, drive, self-management, and effective interpersonal skills.

Strong work ethic and can-do work style.

Excellent communication skills (oral and written) and strong analytical skills.

Ability to work independently and manage time efficiently.

Demonstrates ability to manage multiple tasks and priorities.

Demonstrates initiative and reflects a sense of urgency in daily duties by meeting or improving upon deadlines.

Experience with Crexi, LoopNet, AI, Yardi or equivalent software recommended.

Key Responsibilities

Provide support to Property Managers in a variety of tasks.

Assist with scheduling and supervising vendor activities including landscaping, locksmiths and other contract providers.

Demonstrates ability to read detailed contracts and process leases.

Participate in performance oversight of service contractors who perform contract services.

Responsible for scheduling walk-throughs with vacating tenants, rekeying vacant spaces, showing space to potential tenants, and performing lockout procedures, as necessary.

Support for managers during on-call emergency responses.

Assisting in organizing, planning, and implementing strategies.

Assist and in some cases manage day-to-day activities of the property including property maintenance, operations oversight, and standard operating procedures.

Provide call coverage during Property Managers' site visits to ensure continuous and efficient communication.

Ensure tenant repair and maintenance requests are timely and professionally responded to and managed, with an emphasis on quality and cost-efficiency.

Compose professional notices and e‑mail communication.

Effectively coordinate assigned vendor relationships, e.g. landscaping, including regular contact to promptly identify and resolve issues, managing service levels to meet contract specifications.

Identify and make well thought-out recommendations to Property Managers for opportunities to reduce operating expenses and/or generate additional income.

Assist in management and day-to-day operations and tenant relations of a portfolio of properties, as assigned.

Provide support and cover for team members when they are unavailable.

Other real estate related duties, as assigned.

Tenant Coordination

Ability to ensure timely resolution of tenant requests.

Develop and maintain ethical, professional, and courteous relations with vendors, general contractors, engineers, architects, tenants, coworkers, and ownership.

Assist in the management and development of risk mitigation plans for the portfolio.

Building Maintenance, Construction, and Security

Assisting Property Managers with maintaining the appearance and condition of the property by hiring appropriate vendors which includes but is not limited to soliciting and reviewing bids, preparing contracts, and reviewing contracts and insurance coverage.

Basic knowledge of Buildings, HVAC, plumbing, and electrical systems.

Annual preparation of vacant units and common areas for winter weather.

Financial

Review and code invoices ensuring appropriate supporting documentation is included and charges are accurate and allocated correctly.

Assist with budgeting, forecasting and analysis of financial information of properties.

Interpersonal / Position Requirements

The Real Estate Coordinator must possess the ability to communicate in with all team members and across departments clearly and concisely, both orally and in writing.

Establish and maintain effective working relationships with individuals and groups representing diverse backgrounds and professions.

Be service minded and committed to the company’s goals, objectives, and policies by being an excellent ambassador for the company.

Perform the essential functions of the position by working independently in the absence of supervisor.

Be self-starting and self-motivated.

Communicate with tenants, contractors, vendors, and the general public in a courteous, respectful, and professional manner.

Experience with or ability to effectively utilize AI, Crexi, LoopNet, Yardi or other property management software.

Qualifications

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

Preferred experience in the commercial property management industry.

Excellent communication and customer service skills.

Experience with Yardi or other property management software preferred.

Strong organizational and time management skills.

Ability to work independently and in a team environment.
