Job Description The Administrative Assistant is responsible for supporting all day‑to‑day activities undertaken by the EVP, International Marketing. This globally focused role includes managing schedules, coordinating meetings, and handling travel arrangements. Additional responsibilities include preparing presentations, tracking key action items, and liaising directly with senior‑level stakeholders both internally and externally across all international territories.

Essential Responsibilities

Manage complex schedules and coordinate meetings with internal and external parties across multiple time zones using multiple calendars; anticipate conflicts and proactively resolve issues, often balancing the strict demands of high‑level filmmakers and studio executives.

Compile meeting agendas for weekly Senior Management Team meetings.

Coordinate travel schedules and arrangements, and collect required travel documentation.

Build presentations in Microsoft PowerPoint/Keynote for meetings, conferences, and events.

Establish and maintain positive relationships with internal teams and key external clients.

Maintain proper recordkeeping and filing systems for all work.

Compose and type routine email correspondence.

Perform basic administrative tasks such as photocopying and filing.

Handle heavy phone volume; assist other department members as needed and serve as backup for the marketing team and the desk of the President of International Marketing.

Prepare and process P‑card and expense reports in accordance with divisional travel policy guidelines; ensure timely processing of expenses using the latest electronic systems for corporate credit card payments.

Maintain the highest level of confidentiality in all departmental matters.

Qualifications

2+ years of experience supporting a senior level executive.

Proficient in Microsoft Word, Outlook, PowerPoint, Adobe, Excel, and Keynote.

Must have knowledge of all basic office equipment.

Desired Characteristics

High degree of professionalism and the ability to interface well with Senior Level management.

Demonstrable senior EA experience: a truly committed individual who has experience supporting a manager across different time zones.

Experience with advanced international travel bookings and the ability to navigate meticulous itineraries and demands abroad.

Ability to think globally whilst respecting cultural norms and accommodating local demands and requirements.

Ability to work independently and show a very strong sense of initiative and intuition.

Expert communicator with the ability to communicate with all levels, especially senior executives – able to follow up on meeting action points and communicate these to necessary parties.

Show initiative by confidently self‑starting improvements to office procedures, reports, and processes and require minimal supervision.

Ability to pay attention to multiple details and multiple tasks while minimizing errors.

Ability to work on a team and willingness to give assistance to co‑workers in other areas.

Experience working in and a positive attitude toward a rapidly changing business environment.

Excellent organizational, analytical and administrative skills, together with developed interpersonal skills, telephone manner and attention to detail.

Bachelor’s Degree.

Additional Requirements Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in‑office requirements at any time.

Salary Range $47,500 - $60,000 (hourly paid)
