Position Summary Oak City Properties Realty & Management, LLC is seeking a detail-oriented and customer-focused Assistant Property Manager to support daily property operations. This role is responsible for tenant communication, maintenance coordination, administrative execution, and operational efficiency . The ideal candidate thrives in a fast-paced environment, is highly organized, and excels at managing multiple tasks simultaneously.
Key Responsibilities
Tenant Communication & Support
* Serve as the first point of contact for tenants * Respond to inquiries, requests, and service issues * Provide updates and ensure a high level of customer service
Maintenance Coordination
* Review and process all incoming work orders * Communicate with tenants, owners, and vendors * Dispatch vendors and schedule repairs * Track work orders through completion
Work Order Management
* Maintain accurate records and updates in the system * Identify issues requiring escalation to the Property Manager * Track and manage outstanding and escalated items
Turnover Coordination
* Coordinate make-ready work between vendors, PM, and leasing team * Act as primary contact for leasing team during turnover * Ensure timely completion of property readiness
Lease Administration Support
* Assist with renewals and documentation * Send notices and communications as directed * Maintain organized and compliant tenant files
HOA Violations Management
* Communicate violations to tenants and request resolution * Follow up to ensure compliance * Provide updates to owners and PM
Inspections & Administrative Support
* Schedule and coordinate inspections * Maintain documentation and property records * Assist with rent tracking and reporting
Qualifications
* 1-3 years of property management, real estate, or customer service experience * Strong organizational and multitasking skills * Excellent communication and customer service abilities * Experience coordinating vendors or maintenance is a plus * Proficiency in property management software (Propertyware, AppFolio, Buildium, etc.) preferred
