Senior Specialist: Meetings and Events

Responsibilities Responsible for advising the Firm and BD Managers with all aspects of internal and external event management, including taking full responsibility for organising and running events in London.

Liaising with Partners, fee earners and BDMs in the planning, management and execution process of internal and external events such as corporate hospitality, private dining, bespoke events, client receptions, seminars, conferences and sponsorships.

Liaising with Senior Partner and Strategy Manager on an annual programme of cross‑practice and staff events for the London office.

Sourcing potential venues and locations for events in the London/UK and Europe and offering personal insight into suitable options.

Liaising with the firm’s preferred suppliers to source and manage corporate hospitality for client entertainment.

Researching and presenting options and costings for event ideas/venues, negotiating prices and terms with suppliers and managing the budgetary process for each event to ensure value for money.

Liaising with CRM and Design teams in the production of invitations, badges, signage, speaker and delegate materials to conform with brand guidelines.

Liaising closely with the CRM team to plan event mailings and monitor response rates using Interaction, including updating delegate lists post‑event.

Maintaining a full calendar of events for the London office and, on occasion, Europe and the US, and updating the Global Events Online Calendar.

Maintaining effective relationships with event agencies and suppliers.

Dealing with enquiries from other offices of the firm in a professional and helpful manner.

Managing budget sign‑off for events with BD Managers and ensuring adherence to anti‑bribery policies.

Updating and continually monitoring event best‑practice processes and supporting materials, and educating and reinforcing best‑practice principles with BD and secretarial teams.

Keeping abreast of new developments in the corporate hospitality market, new venues and different event ideas through regular site visits and attendance at trade shows throughout the year.

Hours and Working Conditions 9:30 a.m. to 5:30 p.m. with flexibility in accordance with the needs of the business. The role demands flexibility beyond these hours for breakfast, evening and occasional weekend events. The role may involve some domestic travel. Our current working‑from‑home policy allows for two days working from home, subject to business need. This policy is subject to change and does not form part of contractual terms.

Education and Experience Educated to a degree level or equivalent. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.

Experience, Skills and Personal Attributes

Previous experience organising a range of events preferably within a professional services environment.

Existing venue supplier contacts would be advantageous.

Strong IT skills, especially with Excel, are essential.

Knowledge of webinar platforms – Zoom, Microsoft Teams – desirable.

Knowledge of databases useful but not compulsory.

Personable and willing to work as part of a team.
