Overview The Sales Department Administrative Assistant is often the first contact that the customer has with the Sales Department. The primary responsibilities of this position include answering phones and replying to inquiries in a pleasant and customer service oriented manner, giving as much information as possible before transferring to the Sales Coordinator. The Administrative Assistant is also responsible for the retrieval and distribution of phone messages, distributing mail and faxes, filing, keeping catering packets made and in stock, keeping up inventory and ordering new office equipment as needed, conferring with phone and equipment maintenance services, writing daily events on the white board, producing correspondence, copying and faxing as necessary, and creating and distributing weekly packets with contracts for upcoming events. This position will also be required to mail customer response sheets at the conclusion of each event for all locations, reply to customers’ e‑mails when possible and distribute all else, and attend bi‑weekly sales meetings. In addition to Sales Department job duties, the Administrative Assistant at Anderson School may also on occasion work in other departments on the property. This position can also be hard physical work and requires mental agility and the ability to effectively multi‑task in a fast‑paced and deadline‑oriented environment. You must also have the ability to work well independently and as a member of a team.

Qualifications and Experience
Previous related customer service or administrative experience is preferred.
Experience with high volume phone lines preferred.
Experience with Opera Cloud or similar booking software preferred.
Excellent customer service, communication & phone skills.
Previous experience with Microsoft Office Suite.
Excellent organization and prioritizing skills required.
Flexible schedule including days, evenings, weekends and holidays required.
