About the Role: The Intake Specialist plays a critical role in the initial phase of client engagement by efficiently gathering and processing essential information to facilitate smooth service delivery. This position serves as the first point of contact for clients, ensuring that their needs and concerns are accurately documented and communicated to the appropriate internal teams. The Intake Specialist is responsible for managing intake workflows, verifying client eligibility, and maintaining detailed records in compliance with organizational policies and regulatory requirements. By providing exceptional customer service and clear communication, the Intake Specialist helps to build trust and rapport with clients, setting the foundation for successful ongoing interactions. Ultimately, this role contributes to the overall effectiveness and responsiveness of the organization’s client services and operational processes.
The hours for this position will be from 3:00pm-11:30pm.
Minimum Qualifications:
High school diploma or equivalent required.
Proven experience in a client‑facing role, preferably in healthcare, social services, or customer service environments.
Strong proficiency with data entry and electronic record‑keeping systems.
Excellent verbal and written communication skills.
Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred Qualifications:
Experience working with case management or client intake software.
Familiarity with healthcare, social service, and customer service
Demonstrated ability to manage multiple tasks efficiently in a fast‑paced environment.
Responsibilities:
Conduct thorough client interviews to collect necessary personal, medical, or service‑related information.
Verify client eligibility and documentation in accordance with organizational and regulatory standards.
Enter and maintain accurate client data in electronic records systems, ensuring confidentiality and data integrity.
Coordinate with internal departments to facilitate timely follow‑up and service provision based on intake information.
Respond promptly and professionally to client inquiries, providing clear explanations of processes and next steps.
Identify and elevate any urgent or complex client issues to appropriate supervisors or specialists.
Maintain compliance with all relevant privacy laws, organizational policies, and quality assurance protocols.
