POSITION TITLE:

ASSISTANT EXECUTIVE DIRECTOR

Position Summary The Assistant Executive Director is responsible for managing, under the direction of the Executive Director, the day-to-day operations of the community, achieving and maintaining maximum occupancy of the community to capacity, achieving high resident satisfaction and quality resident care/services, ensuring compliance with applicable state and federal requirements, generating respect in the community, ensuring smooth operation of the community, and generating the projected profit for the company.

Position Responsibilities

Resident Services

Supervises the management of Maintenance and Food Service Departments to assure that each department is operating within the state regulatory guidelines and meets Trustwell Living’s Expectations established for each department, including those relating specifically to the Assistant Executive Director's expectations.

Oversee the Accounts Payable function to ensure the timeliness of payments to vendors.

Contribute to team efforts by being flexible in work assignments; by taking initiative and providing support; and by understanding how this position affects and complements all other Community positions.

Support the organization's mission, vision, and culture through positive communication and leadership.

Assist with the recruitment and retention of qualified staff throughout the Community, as evidenced by good morale, enthusiasm, team spirit, and dedication to the residence and staff.

Assist with conflict interventions and resolutions for residents, families, staff, and third parties.

Performs multiple daily walk-throughs of building and grounds to assure that the building presents in the best light possible and to interact with residents, staff, and visitors to promote customer satisfaction.

Operate the community in a manner that will ensure company profitability by meeting all community budget and census guidelines as set by the corporation. Follow and adhere to the budget in all situations. Monitor staffing hours and overtime daily to detect problems early. Avoid using temporary staffing without a supervisor's prior approval. Use company budget forms to monitor expenses.

Ensure the delivery of quality customer service and ensure positive resident relations by responding promptly and appropriately to resident needs, requests, concerns, etc. Promoting a culture where each resident is of the greatest importance.

Participate in marketing activities, including public relations efforts, prospective resident generation, prospective resident follow-up, direct sales, and sales monitoring. Strive to achieve a 100% occupied community.

Participate in a community relations function for the community with attention to clergy, legal, financial, and business communities who would have influence with the senior market. Directly support the development of referral sources for prospective residents.

Propose for approval contracted services, including the beauty shop, therapy services, and other ancillary services as may be required, and to direct and evaluate the performance of all service contractors in providing needed services.

Promote and maintain positive relations with residents and their families, providing the necessary Executive Director/resident contact, including but not limited to, dining room interaction while addressing resident concerns appropriately. Encourage resident interaction.

Ensure that resident programs designed to achieve resident satisfaction are available by providing enrichment in the areas of social interaction, entertainment, arts and crafts, physical exercise, education, religious services, and community involvement.

Comply with all state and federal laws and regulations and all company rules and regulations regarding the care of the residents and operation of the community.

Develop and maintain systems that will effectively monitor the operation of the community, including, but not limited to, occupancy rate, income and expense, supply/capital asset inventories, and resident and staff satisfaction (i.e., suggestion boxes, surveys, etc.).

Oversee the maintenance of accurate and appropriate records for each resident and prospective resident of the community, for each employee and other administrative activities, and maintain confidentiality of said files.

Conduct daily department leader meetings to focus on admissions, discharges, resident/family concerns, resident satisfaction, employee injuries, and resident accidents/incidents.

Conduct weekly marketing meetings to focus on move-ins and move-outs, community events, and marketing events.

Direct and monitor timely and accurate completion of all daily/weekly/monthly billings, accounting, and bookkeeping requirements (i.e., residents, A/R, A/P, payroll, collections, etc.).

Assist as needed in the coordination of move-in with respective residents. Periodically review each resident’s status and ability to perform under the terms and conditions of the Residency Agreement. Oversee the process of determining each resident’s suitability and placement for transfer to an environment appropriate for their mental and physical condition. Direct and advise as needed on the process for notifying staff of new residents’ needs and ensuring the apartment is move-in ready.

Recruit, hire, provide orientation, supervise, train, discipline, and terminate the department leaders of the community, and be responsible for ensuring department leaders comply with the policies and procedures. Review respective job descriptions, quality, performance, and production standards of department leaders as set by the management of the community and the company.

Periodically and routinely review (90-day and annually) and evaluate department leader performance, schedule training, and adjust as necessary.

Cooperate and effectively interact with the Resident Council.

Exercise professional judgment and carefully adhere to all written standards, personnel administration policies, and procedures. Direct and monitor the documentation of all personnel administration matters for every employee of the property.

Routinely monitor the sanitation of the kitchen, quality of meals, quantity and appearance of service and entire staff, cleanliness of resident apartment, and satisfaction of residents.

Implement a quality assurance program that evaluates each department’s performance at least quarterly with appropriate follow-up to maintain compliance with company policies and procedures as well as local, state, and federal regulations.

Assist with performance evaluations and feedback.

The Assistant Executive Director will be responsible for identifying, making recommendations, and following through with approved purchases that will protect the physical asset of the property.

The Assistant Executive Director is responsible for the implementation and follow-through of the recommendations of the safety committee to provide a safe environment for residents, staff, and visitors.

Perform any additional job duties set by the Executive Director while completing all assigned duties, which may change from time to time according to resident needs, staffing levels, working circumstances, and corporate directives.

Employment Requirements

Effective supervisory skills.

Ability to communicate and work with all levels of the company’s Employee Partners effectively.

Ability to recognize and communicate problems appropriately.

Ability to relate to the public, Residents, families, Employee Partners, and other professionals appropriately.

Ability to maintain accurate records and provide information as requested and required.

Ability to communicate proficiently in English, verbally and in writing.

Ability to work flexible hours, to meet the requirements of the job, and be on call.

Ability to lift up to 50 pounds, 30 pounds regularly.

Maintains car in good working order, current driver’s license in good standing, and auto insurance meeting company minimums is current.

CPR certified.

Ability to teach/train others effectively.

Training And Experience Experience in managing a program or community for older adults is preferred. One year of supervisory experience required. Knowledge of an interest in working with older adults is required. Holds a current CPR Certificate or can obtain a CPR Certificate within 90 days of being hired.

Education High school diploma required. College credits or a degree, or sufficient education to satisfy the state experience requirement. Maintain CPR/First Aid Certification. Attendance at mandatory in-service training. Meet continuing education requirements on job classification and position.
