Summary Assist Escrow Officer in preparing and coordinating closing transactions between loan establishments, sellers, borrowers, and real estate agents. The Escrow Assistant is a critical team player who ensures customer service and satisfaction for TitleOne.

Responsibilities Essential duties and responsibilities include:

File set‑up, scheduling, and coordination with other departments.

File monitoring, customer contact, and acting as a backup in the absence of the Escrow Officer.

Editing checks, balancing files, printing checks, shipping and uploading loan packages.

Sending and posting wires and depositing checks.

Conducting closing transactions as a neutral third party, compiling loan documents, title research, and Real Estate Agent instructions.

Answering buyer and seller questions related to transaction details and obtaining signatures on required documents.

Developing and executing systems for clerical duties and file coordination that adhere to company policies and procedures.

Assisting Escrow Officer and Title Officers in clearing title on certain transactions.

Managing processes for depositing and tracking earnest money checks, disbursing, and funding transactions.

Complying with TitleOne Corporation escrow trust accounting standards as outlined in the process and procedure manual.

Handling pre‑ and post‑closing curative matters for the Escrow Officer.

On a day‑to‑day basis, Oversight includes:

Ensuring all earnest money checks are deposited into the file in a timely manner.

Providing earnest money receipts to customers according to service level expectations.

Disbursing files following trust accounting standards.

Coordinating with deliveries to ensure all deliveries, exchanges, and deposits are handled promptly.

Uploading final documentation to the file and sending it to all appropriate parties.

Checking for payoffs/assumptions from mortgage companies.

Verifying commission requests with real estate agents.

Assisting with updates to lenders and real‑estate agents.

Reviewing real estate contracts, lender instructions, and closing requirements.

Managing heavy telephone and email contact with Realtors, Lenders, Buyers, and Sellers.

Providing backup to the front desk person on the telephone.

Obtaining funding numbers for closings.

Uploading documents and related correspondence in ResWare.

Preparing curative documents as needed.

Backing up the Centralized Funder and Shipper.

Reviewing title commitments for accuracy and ensuring clear title.

Reviewing trial balances and outstanding check reports.

Assisting with recording fixes.

Qualifications

Minimum one‑year escrow/closing experience.

Complete knowledge and understanding of real estate contracts.

Excellent telephone and email etiquette.

Excellent customer relations and interpersonal skills.

Good verbal and written communication skills.

Excellent organizational skills, detail oriented, deadline oriented, and problem‑solving ability.

Ability to work well under pressure.

Computer skills including Windows, Microsoft Office, and paperless production software.

Copier, e‑mail, and ten‑key calculator skills.

Working knowledge of closing statements/disclosures, lender requirements, and title insurance commitments.

Working knowledge of HUD‑L and title insurance commitments.

Physical Demands The employee is regularly required to sit and talk or hear. Occasionally the employee is required to stand, walk, or drive to other offices for the closing process. The employee is frequently required to lift up to 10 pounds and occasionally to lift up to 25 pounds. Close vision is required.
