Event Marketing Specialist

Description
The Event Marketing Specialist plans, coordinates, and executes DSS's event marketing initiatives to drive pipeline generation and strengthen brand visibility within the federal healthcare technology market. Reporting to the Marketing Director, the role will initially receive training from the transitioning Event Manager before assuming full ownership of event operations for the division.
Responsibilities
Plan, coordinate, and execute in‑person, virtual, and hybrid events (conferences, trade shows, webinars, executive roundtables).
Manage end‑to‑end logistics for 8 major trade shows and 10+ attendee‑only events annually.
Coordinate booth space registration, vendor services, shipping logistics, and on‑site setup.
Develop booth design, signage, presentations, and branded materials in collaboration with Creative and Communications teams.
Handle day‑of event execution, problem‑solving, vendor coordination, and attendee engagement.
Plan and execute up to 20 virtual events per year, including product demos and webinars, using platforms such as Wistia, Zoom, and Hopin.
Partner with Senior Communications Manager to develop multi‑channel promotional campaigns (email, social, direct outreach).
Integrate event data with HubSpot CRM for lead capture, scoring, and tracking; build automated workflows and nurture sequences.
Track and report event performance metrics (registration, attendance, MQLs, SQLs, pipeline influence) and produce quarterly reports.
Maintain event calendar, vendor contact database, and operational documentation.
Collaborate with Sales, Product, and other stakeholders on messaging, technical requirements, and lead handoff protocols.
Identify process improvements, document best practices, and support continuous learning.
Travel up to 30% of the year for conferences and events.

Qualifications
Required Skills
At least 2 years of B2B event marketing, trade show, or field marketing experience with demonstrated results.
Proven ability to manage multiple projects simultaneously with competing deadlines.
Experience planning and executing professional events: conferences, trade shows, webinars, corporate events.
Some exposure to government contracting, healthcare IT, or enterprise technology preferred.
Experience with virtual event platforms and hybrid event strategies.
Strong on‑camera presence and ability to think on your feet during live sessions.
Basic experience with marketing automation or CRM platforms (HubSpot preferred).
Strong project management skills and budget consciousness.
Excellent communication skills for briefing executives, training staff, negotiating with vendors, and writing event promotion copy.
Tech‑savvy: quick learner of new platforms such as virtual event tools, CRM systems, and project management software.
Travel flexibility: up to 30–40% travel during peak event seasons.
Proficiency with HubSpot, Salesforce, Marketo, Pardot, or similar marketing automation/CRM platforms.
Familiarity with virtual event platforms such as Wistia, Zoom, ON24, Hopin, or WebEx Events.
Strong proficiency in Microsoft Office Suite and Google Workspace (Excel, PowerPoint, Google Sheets).
Preferred Skills
Experience in healthcare, government, SaaS, or B2G industries.
Knowledge of federal procurement cycles and government buying behaviors.
Familiarity with account‑based marketing (ABM) concepts.
Exposure to VA, VHA, DoD, NIH, or federal healthcare stakeholder environments.
Interest in event marketing certifications (CMP, DES).
Experience analyzing marketing data and creating performance reports.
Experience with event registration tools (Cvent, Eventbrite).
Comfortable with project management tools (Confluence/JIRA, Asana, Monday.com, Smartsheet, Trello).
Education
Bachelor's degree in Marketing, Communications, Business, Hospitality, or a related field (or equivalent work experience).
Certification
Preferred: Certified Trade Show Management (CTSM) or willingness to obtain CTSM.
Years of Experience
2+ years in B2B event marketing, trade show management, field marketing, or related role with demonstrated results.
2+ years as an event or marketing coordinator.
2+ years coordinating trade shows or other professional events.
Compensation
Salary range: $65,000 to $80,000 annualized USD. The estimate represents the typical salary range for this position.
