About the Role: We’re hiring a Service Writer to help keep our service department running efficiently and our customers supported. In this role, you’ll be the communication hub between technicians, customers, and the Service Manager—handling incoming service requests, dispatching work, and managing work orders through to invoicing. If you're organized, clear under pressure, and thrive on keeping things moving behind the scenes, this role is for you!
What You’ll Do:
Answer incoming calls and dispatch technicians to customer sites for maintenance or repairs
Open, process, and close work orders in coordination with the Service Manager
Submit daily warranty claims and assist with follow‑up on outstanding claims
Monitor parts backorders and adjust job scheduling as needed
Invoice customers promptly after repairs and support daily work‑in‑progress (WIP) goals
Keep service records and filing systems organized and up to date
Maintain accurate customer profiles based on completed work orders
Track and report on technician efficiency and work order completion
Respond to both internal and external service‑related inquiries
Escalate parts shortages or delays to the Service Manager
Provide administrative support to the Service Manager as needed
Prior experience in a service department role (material handling preferred)
Clear and professional communication skills
Strong organization and time management
Comfortable using Microsoft Office and service tracking software
Able to handle the physical demands of the role
