Administrative Sales Coordinator

Primary responsibilities are to support the Sales & Events team, and include but are not limited to: creating and updating banquet event orders, creating and updating group resumes, reviewing all room blocks in CI/TY on a daily basis, keeping all group contacts aware of due dates and cut off dates, compiling weekly and monthly reports, answering phones, maintaining files, sending emails, typing, faxing, copying/scanning. Promote awareness of brand image internally and externally. Use sales techniques that maximize revenue while maintaining existing guest loyalty to Marriott. Enter, retrieve, reconcile, and verify information (e.g., commissions, reward points, leads, third parties) in software involved in the sales process. Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events). Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.

Basic requirement: knowledge of CI/TY, MARSHA and Marriott PMS.

Essential Functions CI/TY and Marriott Property Systems:

Acts as lead catcher for the sales team.

Answering inquiry calls, completing lead sheets to pass along to Sales/Catering Managers.

Creating and updating Group resumes and banquet event orders.

Creating opportunities and quotes in CI/TY and ensuring the appropriate sales manager is assigned.

Assist Sales Managers by maintaining reservation links for individual reservation groups.

Contact clients on behalf of the Sales Managers and serve as a representative of the department in the manager's absence.

Generate pick up reports and assist Managers in making sure that blocks are updated; monitor all cancellations and groups that fall into attrition.

Act as a liaison between client and management.

Coordinate client billing with accounting.

Conduct site visits when necessary.

Ensure that standards of personal appearance, grooming and conduct are an example to the team and provide a professional image of guests.

Each associate is expected to complete all reasonable requests by management within their ability.

Compile reports from PMS and/or MARSHA.

Prepare CI/TY reporting: Funnel reports, Credit Card Authorization Forms, Group Reservation Forms, and maintain files monthly/weekly.

Handle commission, group contracts, group BEOs, and group resumes.

Cover for all managers while out of office or unavailable.
