About the Position
We’re looking for a Marketing Department Assistant who thrives on keeping a busy, creative and fast‑paced team running at full speed. This role is for someone who takes initiative, anticipates needs before they arise and sees “getting things done” as an art form. You’ll help organize projects, streamline processes and ensure our marketing efforts move forward – on time, on budget and on brand.
This position is ideal for someone who enjoys being at the center of everything – supporting multiple team members, managing details large and small and ensuring our marketing goals are met.

Essential Responsibilities
Administrative Support & Coordination
Serve as the department’s organizational anchor – coordinating meetings, preparing agendas and ensuring follow‑up actions are completed
Maintain the Marketing department’s calendar and master schedule, tracking deadlines, campaigns and project milestones
Manage internal and external correspondence, routing requests and approvals efficiently
Prepare, route and track invoices; reconcile budgets and assist with expense reports and quarterly tracking
Support project management systems (Asana, Microsoft Teams, etc.) to keep assignments current and deliverables on schedule
Maintain organized digital and physical filing systems for marketing materials, photography and project documentation
Assist with onboarding and coordination for new vendors, interns or associates, ensuring access and materials are in place
Manage department supplies, signage and promotional inventory, including ordering and vendor communication
Coordinate travel arrangements and logistics for marketing events, conferences and photoshoots
Draft professional internal communications, recaps and meeting summaries
Project & Marketing Support
Provide administrative assistance to the Capital City Bank Group Foundation, including file management, donation tracking, etc.
Support internal and community events through internal departmental assistance, coordination of logistics and set‑up and on‑site participation
Track the progress of key marketing initiatives to ensure deliverables and deadlines are met
Assist with campaign execution, creative asset coordination and proofing cycles
Update and manage templated advertising and collateral to ensure brand accuracy
Serve as liaison to internal business partners on marketing requests, events and internal promotions
Support the creation of monthly and quarterly marketing reports summarizing department performance
Help manage the overall organization of brand materials, ensuring consistency and compliance internally and externally
Employer determines the essential functions of the job
Provides additional support to manager and department colleagues
Completes all assigned/required Bank training within established timelines
Additional Requirements
To succeed in this role, you will need:
1+ years’ related professional experience
Excellent communication skills (both verbal and written)
Proficiency in Adobe Acrobat and Microsoft Office Suite
Availability to work 40 hours per week, plus occasional overtime
Reliable transportation to commute to our Tallahassee-based office and to occasional out‑of‑office events
Ability to pass a criminal background check, credit check and drug test
Ability to learn and adhere to banking standards
Confidentiality of client information and discretion at all times
Understanding that the employer determines essential functions of the job

Education
Minimum high school diploma or equivalent required. Bachelor’s Degree from an accredited college preferred. Relevant experience may substitute for the education requirement.
